Job Description
POSITION GOALS

To be the point of contact of REWS team in Shenzhen to work independently with back support from HK team and Beijing team.
To perform front office duties as receptionist in accordance with company policies, procedures and processes. Achievement of the Key Performance Indicators and Service Level Agreement targets.

ROLES AND RESPONSIBILITIES
Major Responsibilities

Responsible for daily floor inspection to ensure all internal office area is in good condition.

Responsible for handling of unknown mails.

Responsible for event support for users may be required from time to time

Manage the onsite cleaners to ensure the clean and tidiness of office and perform regular performance review with vendors.

Responsible for invoice submission and tracking before cut-off date.

Manage the air-conditioning arrangement upon request from users.

Manage office supplies ordering on monthly basis.

Manage visitor desk assignation if needed.

Manage key record for all storage cabinets.

Making sure to demonstrate professional and polite responses in telephone responses.

Escort visitors including coordination with employees.

Perform mailroom assistance if necessary.

Responsible for maintenance and upkeep of front office.

Ensure compliance of regulations / requirements of JLL management.

Develop the necessary policies and procedures required for all functions within the scope of Reception.

Responsible for Employee badge and building card management.

Responsible for new hire on board preparation likes name tag and related procedures.

Responsible for maintenance schedule arrangement with local vendors.

Manage the utilization of conference rooms and work closely with local IT support.

Responsible for ticket resolving for all general facilities-related matters.

Maintain the First Aid box and AED as well as keep track of medicine distribution.

Responsible for vendor NDA submission.

Manage Lost and Found, business cards management.

Manage the massage services booking as well as services performance of masseuse.

To align all office services with client’s guidelines

Provide initiatives on office services enhancement as well as event’s organization based on daily operation.

Others

Assist in the preparation of Daily reports, Weekly Report, Audit Report and Monthly Management Report, etc.

Participate in emergency evacuation procedures including crisis management and business continuity.

Other potential ad-hoc works assigned by line manager or client.

CANDIDATE SPECIFICATION: KEY SELECTION CRITERIA

Ideal Experience
Experience in Facilities-related matters with detailed-minded

Experience in Front Desk and Back Office processes is required with strong Administration Skills.

Strong PC literacy and proven ability to manage daily activities using various systems.

Strong Customer Service focus and proactive

Excellent people skills and ability to interact with a wide range of client staff and demands

Knowledge of Occupational Safety requirements

Demonstrated experience with continuous improvement initiatives highly desirable

Demonstrated experience with client reporting and preparation of reports required

Key Performance Measures
Compliance with the Service Level Agreement established between Jones Lang LaSalle and (Google)
