The Global Functions Technology Services (GFTS) organization delivers world-class technology solutions for Citi’s Global Functions through the use of common data, analytics, and platforms. Senior Admin:
  • Logistics for Staff On-boarding ( seat arrangement ,apply PC hardware and software , phone set-up , badge , stationary… ) off-boarding and transfer-out
  • Coordinate between interviewer and candidate for interview room booking, pick-up, collecting feedback
  • Key event planning/organization/support including town hall, team activities, special VIP visits/events, etc
  • Daily general services help, providing immediate help and correct guidance to team staff and coordinate/communicate with other function support team as necessary
  • Travel logistics
  • Assist staffs’ business travel, and work in the following specific areas
  • Assist staff to prepare all required documents such as invitation letter, insurance paper, company business license and other required materials
  • Prepare travel application form and obtain proper approval
  • Book airline ticket
  • Arrange accommodation
  • Guide staff on reimbursement
  • Procurement & Payment processing in P2P
  • Assist to organize fire drill test as department coordinator
  • Supporting manager’s executive and administrative needs
  • Coordinating, planning unit /team meetings, taking meeting minutes, tracking on following up action items
  • Helping manager prepare and consolidate business reports/presentations, as well as business analysis and cases
  • Review and check team expense reports and ensure all of them are correct and in compliance with company policy
  • Other assignments may require by manager

资格

  • Experience in similar administrative role
  • Attention to detail is critical
  • Advanced user of MS Office Products (Excel, PowerPoint, Word, Outlook)
  • Able to navigate through large organizations
  • Able to multitask and coordinate multiple activities / tasks
  • Able to be consistent
  • Strong inter-personal skills
  • Understanding of technology teams and ability support a large group of resources
