Key Responsibilities:
1. Students information management:
- Keep track with students’ withdrawal and re-enrolment
- Database set up and student enrollment. (Calendar Set-up; Courses Set-up; Student Enrolment)
- Manage student register (Documents preparation & application; Online System management)
2. Supervise school bus operation:
- Coordinate with services & operation department for school bus arrangement
- Prepare school bus signs
- Assign the bus duty roster for Chinese teachers
- Prepare the student pick-up information list to the class teachers
- Handle parent complaints
- Follow up the annual bus survey
3. Newsletter/School letter/Student Handbook/Parent Handbook translation;
4. School event attendance registration and reception. (Registration desk set-up and form preparation);
5. School event ticket\programme online setup and information to parents;
6. Staff board update;
7. Front desk and common area decoration and clean-up afterwards during festivals (Christmas, Chinese New Year etc.);
8. Support admission division for Re-enrolment package. (Cover Letter; Payment Notice etc.);
9. Year Book: staff pages and leaders’ messages;
10. Student report set up, proof-reading, pack up preparation;
11. Liaise with transportation and other arrangement on student accident and emergency;
12. Help arrange transportation and accommodation for teachers and other visitors;
13. Students’ registration 学籍application and management;
14. Work on field trips and excursions (Tickets\Documents\Transportation and Accommodation etc.);
15. Take minutes of meetings;
16. Interpret for parent/teacher conferences;
17. Help with student admissions and answer enquiries from prospective parents;
18. Provide secretarial support to heads of school;
19. Coordinate and arrange heads of school’s meetings, teleconferences and travel requirements and other daily work schedules;
20. Help heads of school prepare presentations, reports, correspondence and other documents as assigned;
21. Translate documents for heads of school when needed;
22. Assist and organise logistics for internal meetings and external visits or events;
23. Other assigned work as requested by head of school office and heads of school.
Qualifications
- Education: Bachelor’s degree.
- Major: Administration or related subject.
- Language: Native Chinese speaker and fluent in English, minimum TEM-8.
- Support Huili values.
- A minimum of 2 years relevant experience
- outstanding communication in English and Chinese
- strong interpersonal skills
- an excellent track record in administrative work with office management experience
- advanced knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
- high level motivation and patience with a keen sense of personal organisation and responsibility
- Open, proactive, patient and caring
- International and bilingual school working experience is preferred
- Cross-cultural working experience is preferred
