岗位职责:
MAIN DUTIES AND RESPONSIBLITIES
主要职责

The mission of this job is to ensure the management of the Shanghai office, with main responsibility including but not limited to the following aspects:
该岗位职责主要是负责上海办公室的行政前台工作,包括但不限于以下方面:
1. Daily management of the reception area of the company, including:
公司前台区域的日常管理,包括以下几方面:
? Welcoming and registering visitors, promptly informing the appropriate host department and colleagues, and leading the visitor to the conference room. Make sure reception desk always standby or back up.
欢迎来访者并进行登记,通知受访部门和同事,引导来访者至会议室。尽量保证前台时常有人来接待访客。
  • Organize welcome video when HQ or other region guests visit。
总部及其他地区宾客来办公室访前,制作并播放欢迎视频。
  • Follow Company SOP, reception in occasion of government personal visits (if any)
如有政府相关部门人员到访,严格按照公司sop制度进行接待。
? Management of company's telephone switchboard, transferring call to the appropriate people and taking messages.
负责每日接听前台总机电话,转接分机并进行必要的留言传达。
? Responsible for managing reception area, including conference rooms management, cafeteria management; keep in touch with cleaning lady.
负责前台区域管理,包括会议室/茶水间,如有需要通知保洁员及时清洁。
? Responsible for order of cafeteria related products,including water、coffee beans, etc. Responsible for related payments in SAP.
负责茶水间相关用品采购,包括饮用水、咖啡豆等,并负责相关费用的支付。
? Responsible for the payment of office expenses in Shanghai, including office rental, property fees, parking garage fees, storage rental ,etc.
负责上海办公室固定费用支付,包括租金、物业费、停车库费、南证仓库等。
? Responsible for communication with the property management,including property notice, exit building application forms, property repairs etc.
作为与大楼物业沟通窗口,包括传达大楼物业通知、物品出门单、负责物业报修等。
? Responsible for maintaining office trees, informing gardener to regularly maintain, and paying the fees on time.
负责维护办公室绿化,通知绿植养护员定期养护,并按时支付绿化费用。
? Responsible for sending/receiving business couriers, and distribute it to departments assistants at 4 p.m. every working day.
负责收发对公快递并于每个工作日下午4点将对公快递分发给部门助理。
Responsible for payments of couriers and allocation to related cost centers.
负责每月快递费用结算,并根据实际情况分摊到相关的成本中心。
? Responsible for registering 688 elevator card for new employee (base in Shanghai) and collect back when employee leaves company.
负责为上海办新员工做电梯卡登记,同时有员工离职时收回电梯卡。
2. Office security, including:
办公室安全管理,包括以下几方面:
? Checking the validity of fire extinguishers and making sure the safety exit is always clear.
定期检查灭火器的有效性,同时确认安全通道的畅通。
? Aware of and comply with the corporate and local Quality/EHS Manual, Quality/EHS Management System, Quality/EHS Management Policy, Quality/EHS Goals, and applicable laws and regulations as they apply to this job type/position.
关注和遵守公司要求的质量、环境健康手册、管理体系和管理政策、目标和该职位的相关的法规要求。
3. Other work assigned by superior.
上级领导交代的其他工作。
4. GMO department employees required to be replaced during the absence to ensure the normal operation.
总经办部门员工在休假期间,要求岗位相互替补,保证岗位正常运行。


任职资格:

JOB REQUIREMENTS
录用条件和工作要求

? College degree or above, major in administration, secretary or related;
大专或以上学历,行政管理,文秘或其他相关专业。
? Related working experience in office administration is preferred.
具备相关行政管理工作经验优先考虑。
? Good command of English, written and spoken.
良好的英语口语和写作能力。
? High attention customer service spirit.
具备高度的客户服务精神。
? Good command of office software.
具备较强的办公室软件操作能力。
? OA/SAP experience is preferred.
具备OA/SAP操作经验者优先考虑。
? Strictly comply with National laws and regulations, EHS and quality management system, abide by the company Code of Conduct, rules and regulations. Ensure that all work behavior conform to company's compliance requirements.
严格遵守国家法律法规,遵守EHS和质量管理体系规定,遵守公司员工行为准则和各项规章制度,确保所有的工作行为符合公司的合规要求。
? Sense of responsibility, diligent and with high integrity,positive attitude, proactivity, team-work approach.
有责任心、勤奋、正直、诚信,态度认真,积极主动,具有团队合作精神。
? Attendance rate is no less than 90% during the probation period.
试用期期间出勤率不低于90%。
