The COSINE PM team is seeking an experienced, energetic, and empathetic Business Administrator to provide excellent support for the Cosine, Devices, and Gaming Security (CDG Security) team. This position will be supporting a Group Program Manager as well as their team.
The ideal candidate for this role will need to be able to navigate and change directions quickly within a fast-paced environment, have excellent interpersonal skills, take initiative, demonstrate good judgment and the have the ability to maintain confidentiality. They will also need to set priorities and handle multiple tasks simultaneously. Being detail oriented and having consistent and timely follow through will be essential to success.
Responsibilities
Responsibilities include but are not limited to:
- Calendar Management with attention to accuracy, timeliness, conflict resolution and alignment to the leader’s priorities and commitments.
- Planning and coordinating domestic and international travel end-to-end including the proactive anticipation of any, and all logistics and itineraries, as well as the reconciling and submission of expense reports.
- Manage procurement for teams including purchasing equipment, services and supplies, creating purchase orders and processing invoices.
- Assist with establishing equipment ordering and supply guidelines, ensuring lowest cost/best quality options are chosen.
- Acting as interim approver on team expense reports, ensuring coding accuracy.
- Proactively managing headcount and providing recruiting support for managers.
- Distribution and security group ownership and management.
- Collaborate on planning and support of all-up events including All Hands, offsites, morale events, and other group meetings as needed.
- Forecast and manage budgets for morale, hardware, travel and entertainment, and training.
- Responsible for onboarding and offboarding office set up and clean out for incoming and outgoing employees and interns.
- Maintain a level of leadership and professionalism that exemplifies Microsoft’s values through Respect, Integrity, and Accountability.
- Consistently demonstrate a can-do and customer service attitude.
Qualifications
Basic Qualifications:
- 3+ years of experience in an Administrative support role or equivalent
- Effective written and verbal communications skills
- Maintain the confidentiality of highly sensitive material with tact and professionalism
- Desire to take on big challenges and the ability to see the big picture as well as the details
- Ability to react with appropriate urgency to situations and requests
- Strong attention to detail with strong problem-solving and troubleshooting skills
- Strong cross-team collaboration and organizational skills
- Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization
Preferred Qualifications:
- Knowledge and proficiency with Microsoft products and internal systems including Outlook, Microsoft Office, Windows, MSS, HeadTrax, MyOrder, MSExpense, and iCIMS
