Job Description
Eaton’s Information Technology team is currently seeking an Executive Assistant to join our team. The Executive Assistant will be responsible for: Providing superior administrative support for Eaton’s Chief Information Officer (CIO). In this role, you will contribute to the efficiency and preparedness of the CIO by being an organizational force leading a variety of administrative tasks and projects. You will act as the primary point of contact among executives, employees and external partners, utilizing masterful problem-solving, communication and prioritizations skills. To do this, you will be self-motivated, confident, enthusiastic and highly flexible. In this role you will: Proactively manage and maintain hectic executive schedules, including scheduling travel and internal and external meetings, making appointments, and making changes to appointments. Ensure the CIO has a daily understanding of calendar logistics and details and expertly manage ad-hoc request. Manage expense reports, office filing, invoicing, and other general administrative tasks. Help manage and facilitate email requests and the inbox to properly organize, create alerts on higher priority items and clear administrative items accordingly. Coordinate with external vendors for meetings and priority by getting to know and understand our IT spend and the relevance and importance of key relationships. Familiarize and proactively seek out publications relevant to the CIO office that need to be reviewed and added to the calendar for consumption. Demonstrate strong presentation skills and ability to create basic to intermediate PowerPoint drafts or storyboards. Create, organize and manage agendas for the global IT organization for key meetings and events. Attend key meetings to capture notes and follow ups for future actions post meetings. Demonstrate strong communications skills both in written and verbal interactions critical. Be self-empowered to find ways to make things more fluid and consistent, self-starter Prioritize and organize incoming requests, managing calls, messages and emails accordingly. Project manage meetings and/or events, liaising with cross functional teams, external vendors and internal partners to ensure a successful outcome. Meet tight deadlines while juggling multiple critical requests across global teams and working closely with other Executive Assistants throughout the organization. Proactively anticipate needs and drive improvements in day to day administrative tasks, constantly looking for ways to drive a more efficient and effective processes Complete complex tasks quickly and take effective actions without having to have the whole picture and react with appropriate urgency to situations that require a quick turnaround. Operate in a high change environment, where schedule, priorities and requests are changing regularly. Seek out and leverage technology that will drive efficiencies and solve problems, you must be tech-savvy and forward thinking. Qualifications Required (Basic) Qualifications: 10+ years of professional experience 5+ years of experience supporting an executive leader and/or team in and administrative capacity Tech Savvy with advanced knowledge of MS Office applications, including Microsoft Excel, Word, deep PowerPoint expertise, Outlook, SharePoint and Teams Exceptional written, verbal and interpersonal communication skills Detailed planning, time management and organizational skills No relocation benefit is being offered for this position.
