The Analog Garage is a division of Analog Devices and is seeking a skilled and highly organized Office Manager to oversee the day-to-day administration of our business operations. This position is to fill the office manager role at the Analog Garage office. A strong candidate has experience managing an office and being the face of the Analog Garage to visitors and employees. They will oversee general office management as described below, as well as ensuring a clean, organized, efficient, and well-run operation. This position also interfaces with C-level senior management and their administrators and as such, strong communication skills are a must.
The Analog Garage is in the heart of Boston’s financial district across from South Station at 125 Summer Street, Boston, MA. There are about 95 employees situated at the Garage. Responsibilities are listed below. This position is full time, Mon-Fri, from 8am-4pm, with flexibility to support occasional (roughly 1/qtr.) evening events as needed.
General Office Management
Oversee appearance of office, conference rooms, café, common areas
Garage badge access using software CCure9000
125 Summer Street - Oxford (Building Management) visitor portal
Manage Oxford cleaning requests
Oversee Morning Coffee Service
Oversee Weekly Lunches
FedEx/shipping – support shipping and receiving requests for Garage employees
Order, receive and setup office and kitchen supplies
Maintenance coordination w/ facilities & Oxford (appliances, copy machines, lighting, AV, etc.)
IT coordination
Support Special Events
Coordinate office/deck plants with facilities and vendor
Oversee scheduled activities in the garage
Meeting coordination w/ off-site teams
Interact w/ Senior leadership team & Executive Assistants
COVID-19 protocol awareness, enforcement
Personnel Support
Site communication
Maintain seating plan / employee list
Employee resource for misc. requests
Onboarding new employees: I9 processing, commuter benefit, desk, supplies
Stay updated on hiring plan for Boston
Maintain email distribution lists
Guest Experience
Main contact for 125 Summer Site
Greet guests on arrival as needed
Coordinate visitors in Oxford reservation system
Arrange meeting rooms, visitor office for visitors
Coordinate w/ EA team on conference rooms
Assist with events
