Job Description

Purchasing Manager
Reporting to the Director of Finance you will lead, develop, deliver and implement the procurement sourcing strategy whilst being responsible for all of the aspects of purchasing for the property.

What you will be doing:

  • Comply with Fairmont St Andrews Company standards of Service. 
  • Assist in the selection, supervision, development, appraisal, counselling and disciplinary action of departmental associates
  • Manage the team for which you are responsible and ensure that they are trained and monitored to carry out the Company’s processes. Proactively cross train each team member to be able to assist in the absence of a colleague to ensure that processes are up-held each working day.       
  • Communicate to all relevant personnel the company procedures for all purchases and follow up with personnel who do not adhere to all the processes.   
  • Track and report all daily spending and communicate to relevant Department heads variances and progress.     
  • Maintain an efficient system handling, coding and tracking of products and communicate with accounting on invoices which need researching.      
  • Train all associates on food handling, rotating and date stamping. Maintain neat and organized storage of all products.   
  • Perform physical inventory monthly and submit reports to the DOF, compiling the variance report per beverage item. Menu pricing calculations.     
  • Attend all function sheet meetings and communicate with banquet staff for all special orders or guest requests.    
  • Regulate and maintain a controllable ordering system using a “just in time” approach to prevent excessive stock holding. Work with Department Heads to set par stocks in each outlet and the stores.   
  • Consolidate and standardize purchasing of fast-moving goods (FMG’s) across property to maximise overall purchasing efficiency i.e. paper goods, printing and stationery etc.      
  • Negotiate with supplier’s retrospective discounts as appropriate and work towards minimizing the number of suppliers and the administrative overload.       
  • Oversee the beverage buyer and assist in maintaining all controlled spirits.  
  • Assist in all Golf Clubhouse & retail shop, purchases.
  • Assist in procuring items for the golf course maintenance.
  • Assist in sourcing and procuring FF&E & OE.
  • Create appropriate robust contracts ensuring legal and commercial compliance.
  • Provide procurement support for Finance, HR, Sales & Marketing, Golf, Spa, Leisure and Maintenance teams.
  • Lead and develop Supplier Relationship Management, building strong supplier relationships responsibility which delivers competitive advantage.
  • Drive supplier KPI’s that deliver savings, efficiencies and a positive response within the hotel.
  • Lead on environmental sustainability projects for the group.
  • Implement the procurement system and policies and procedures where appropriate.
  • Performs other duties and responsibilities as requested

Your experience and skills include:

  • Experience in a similar position
  • Creative and passionate about hygiene standards
  • Able to work in a high-pressure environment
  • Excellent interpersonal and communication skills; a team player


Your team and working environment:

  • Working as part of the culinary team
  • Duties will be performed 5 days out of 7.  Occasional weekend work will be required
  • Must be eligible to live and work in the UK
