Job Description
Competencies, areas of responsibility and tasks (non-exhaustive) · Be the first point of contact for incoming inquiries, liaising with clients, answering calls and overseeing inbox management: prioritising, flagging them to the appropriate team member. · Arranging and coordinating meetings with internal and external stakeholders · Supporting all team members with administrative tasks such as; o Arranging travel and accommodation o Organizing hire vehicles o General administration related to the business process for example updating of records. · Take part in team meetings including taking minutes, training, and necessary toolbox talks. · Collation of KPI data for presenting at the IMS Management Review Meetings. · Keeping company register up to date. · Good communication skills within the team and can communicate internally and externally at all levels. · Assist the CEO in his day-to-day duties, emails, meetings, calendar, expenses etc. · Prepare meeting rooms, offer refreshments and go above and beyond to make sure everyone’s visit is a first-class experience. · Ensure that the office facilities are kept tidy and that the stationary cabinet and kitchen are well stocked at all times. · Support the team with client, sales and supplier relationship management and be responsible for organising internal and external events. Knowledge & Skills The key competencies and capabilities for this role are: · Excellent communication skills · Good attention to detail along with the ability to remain composed when working under pressure is essential. · PC skills are essential and ideally, the experience of using Outlook, Word and Excel is essential · Ability to work independently and take ownership of tasks and incidents until completion. · Ability to build relationships with colleagues & customers. · Good communication skills, both written and verbal · Organisational skills · Proven ability to work well under pressure. · A self-motivator who can demonstrate good initiative. · Problem solving skills. Required experience · Experience of working in a team environment is essential. · Previous administration and team coordination experience are desirable. · Customer facing experience is desirable.
