Sales Coordinator

The Sales Coordinator is responsible for coordinating and assisting in the daily operations of the Sales & Conference Services team and provides direct administrative support and assistance to Sales Managers and Conference Services Managers.

Summary of Responsibilities:

Reporting to the Director, Sales & Marketing, responsibilities and essential job functions include but are not limited to the following:

  • Assist with answering telephones and inquiry emails in the Sales Office and directing calls appropriately.
  • Assist Sales team by monitoring all lead sources and distribute leads to appropriate Sales Managers.
  • Provide administrative support to specified Sales Manager(s) & Conference Services Managers merging proposal letters and letters of agreement, mailings, distribution of all banquet event orders, weekly distribution of the ten day, daily distribution of all changes and other miscellaneous tasks required.
  • Support the Wedding Sales Manager with all wedding client needs on the day of the wedding to include but not limited to ceremony set up, coordination of materials and last minutes changes.
  • Assist in maintaining an accurate client data base in Sales and Catering and adherence to all Fairmont Hotels and Resort system standards.
  • Develop skills to conduct site inspections for walk-in appointments in the event that a Catering Sales Manager is not available to assist.
  • Maintain current sales and promotion literature.
  • Have a complete knowledge of hotel services and accommodations.
  • Participate in hotel and sales training programs when applicable.
  • Attend weekly Sales & Conference Services Meetings and monthly total team Sales Meetings.
  • Energetic, self motivated and flexible to change
  • Excellent verbal and written communication skills
  • Proven ability to meet deadlines in a fast paced work environment
  • Must be professional, enthusiastic, a strong team player and possess excellent

organizational skills

  • Ensure prompt and courteous service is extended to both internal and external customers.

Qualifications:

  • Previous experience is an asset
  • College degree or diploma in Hotel/Restaurant Management an asset.
  • Experience in a full service hotel with comparable service and standards.
  • Exerting up to ten pounds of force occasionally, and/or negligible amount of force frequently or constantly to lift, carry push, pull or otherwise move objects, and long hours sometimes may be required.
  • Must possess an advanced degree of knowledge in Excel and Word. 
  • Knowledge of Opera Sales & Catering an asset

Physical Aspects of Position (include but are not limited to):

  • Constant standing and walking throughout shifts.
  • May occasionally exert up to 10 pounds lift, carry, push, pull or otherwise move

Visa Requirements: Must have proof of valid U.S. work authorization.
