In this vital role the Administrative Coordinator II is part of the Global Government Affairs & Policy (GGA&P) organization and is located in Amgen’s Washington, DC office. Basic duties include providing general administrative support to specific members of the US Federal Government Affairs and US Health Policy teams, as well as broad-based support to the State and International Government Affairs and Policy teams. The successful candidate must be a professional, possess strong organizational and communication skills, be self-motivated, thorough, a self-starter, and possess a high degree of integrity and dependability, as well as a strong work ethic.

Key responsibilities include:

  • Manage multiple calendars; resolving conflicts and scheduling meetings

  • Prepare and process expense reports in compliance with all relevant policies/procedures

  • Coordinate and make travel arrangements in timely and cost-efficient manner

  • Prepare and process lobby disclosure forms in compliance with all relevant policies/procedures

  • Process and submit invoices and check requests in a timely manner

  • Copy, distribute and maintain documents for external meetings

  • Plan and carry out logistics for internal and external meetings including scheduling, catering, receiving visitors, and coordinating A/V needs

  • Assist with the preparation and creation of PowerPoint slides/presentations and other materials as requested

  • Perform basic research specific to GGA&P initiatives as requested

  • Perform basic office management functions for team including, but not limited to: new hire on-boarding, assist with kitchen/common area and business resource center maintenance, assessing needed supplies and placing orders

  • Serve as back-up for other Administrative Coordinators on team, if they are unavailable, including support for Senior Vice President and Vice President

  • Take-on assigned tasks as they occur

Basic Qualifications:

  • Associate’s degree and 2 years of Administrative experience

Or

  • 2 years in a technical school setting with hands-on experience

Or

  • High school diploma/GED and 4 years of Administrative experience

Preferred Qualifications:

  • Strong experience in an administrative support role supporting large teams at different levels

  • Experienced and proficient with all current Amgen technologies and platforms

  • Strong working knowledge and experience in Microsoft Office: Outlook, Word, PowerPoint, Excel and Adobe Pro.

  • Strong working knowledge and experience in managing and maintaining multiple calendars

  • Strong working knowledge and experience in arranging multi-destination travel for multiple travels

  • Congressional and Hill experience

  • Ability to liaise with cross-functional team members and effectively communicate with internal and external business partners

  • Ability to work in a fast-paced, deadline-driven environment

  • Discretion in dealing with proprietary information

  • Exceptional at managing multiple calendars including coordination across multiple time zones

  • Ability to prioritize projects of greater urgency and importance

  • Outstanding communication skills, both verbal and written

  • Excellent organizational and time-management skills

  • Excellent travel and meeting planning skills

  • Experience providing administrative support to remote staff

  • Helpful, can-do attitude with a solution-oriented approach

  • Polite and personable ‘standout colleague’

  • Skilled at remaining calm under pressure

  • Experience working in biopharma industry

  • Bachelor’s degree
