Job Description
Eaton’s North American Sales Division is currently seeking an Administrative Assistant to join our team. This position is based at our Grapevine, TX location. Relocation assistance will be offered. The primary function of this position is to provide administrative support for various NAS leadership team members. In this function you will: Perform a variety of administrative and special duties that can range from coordinating and handling domestic travel arrangements and meetings and managing schedules to pulling together information for reports and presentations as needed Act as a point-of-contact to answer routine and complex questions and furnish information Maintains electronic distribution lists, division email and regular mailboxes and manages regular disbursement of personnel and other electronic announcements Manage office supply orders and ensures proper supplies are ordered as needed Schedule appointments and manages logistics for meetings and travel Serve as a liaison to corporate fleet department, as well as third party vendor and assist with annual/ongoing field fleet administration processes and reporting Partner with functions as needed such as finance, HR and payroll, in addition to other administrative professionals to ensure division and site consistency Maintain a dedicated knowledge of procedures, with a broad knowledge of department, divisional products and company organization Organize and prepare Word, Excel and PowerPoint documents as needed to support the organization Prepare regular reports and analysis pulling information from multiple sources Route or answers correspondence and expedites flow of work not requiring supervisor’s attention Organize and maintain files, correspondence, mailings, etc. When we embrace the different ideas, perspectives and backgrounds that make each of us unique, we — as individuals and as a company — are stronger. Qualifications Required (Basic) Qualifications: High School Diploma or GED from an accredited institution Must be able to work in the United States without corporate sponsorship now and within the future Preferred Qualifications: Bachelor’s degree from an accredited institution Experience in an administrative role Prior experience supporting senior business leaders Experience utilizing the Microsoft Office Suite (Word, Excel, PowerPoint & Outlook) Ability to manage and organize multiple sites (small sites) Position Criteria: Excellent verbal and written communication skills, along with professional presence are required Intermediate to advanced computer skills are required to include experience with programs such as MS Word, Excel, PowerPoint and Outlook Ability to anticipate needs and work ahead without being instructed Demonstrated dependability and unquestioned integrity and trust, capable of handling confidential information Excellent organizational skills to handle increased workloads as required and flexibility to adapt to special circumstances and needs Ability to travel up to 10% We are committed to ensuring equal employment opportunities for all job applicants and employees.
