Job Description

Role overview: 

We are currently recruiting a customer-focused and proactive Receptionist to give an excellent first impression to all staff and visitors in our Sheffield office, where we have approximately 200 employees.

Your responsibilities will include:

  • Provide a professional and welcoming first impression to all visitors to the building, by ensuring that they are greeted, signed in and their host is notified in a prompt manner
  • Being responsible for the office switchboard, directing calls to various departments within the business in a timely manner
  • Responsible for the office security pass system, programming door access cards for employees
  • Accepting and handling deliveries including office milk delivery and stocking of fridges. Additionally notifying recipients of deliveries
  • Greeting contractors who assist in the upkeep of the building
  • Being responsible for the efficient and accurate management of meeting rooms, including restocking meeting room supplies when necessary
  • Arranging lunches and providing tea and coffee refreshments when required
  • Arranging couriers and franking all outgoing post for collection
  • Collecting and distributing post throughout the building
  • Handling a wide range of queries from employees and visitors in person, by email and by phone
  • Using the Facilities Request System to log actions against employee requests
  • Booking travel (flights and taxi's) 
  • Sending email announcements to all staff when necessary
  • To assist the wider team as and when necessary with ad hoc duties, for example ordering stationary and kitchen stock, or assisting with Facilities Inductions for new employees
  • Ensure good housekeeping of reception areas and stock rooms
  • Willingness to undertake Fire Marshall and First Aid training (would be provided by Company).
  • General administrative tasks for Senior Management when required 
  • Work with the Company Environmental Team to ensure the company is meeting it's environmental obligation 

 

Requirements:

  • Experience in a busy customer facing role
  • Excellent communication skills, written and verbal
  • Excellent teamworking skills and a flexible attitude
  • Proven organisational skills
  • Ability to stay calm under pressure.
  • IT literacy, in particular Microsoft Office (Word, Excel, Outlook)
  • Previous switchboard/reception experience advantageous
