VON ARDENNE needs a capable, motivated Administration+Sales Assistant for our local Sales department, where the successful candidate will offer reliable support to the local sales team members with improving efficiency in office duties and additionally with assigned Administration tasks. The ?Administration+Sales Assistant is an analytical problem solver, who will work independently and meet deadlines. The successful candidate is detail-oriented and with strong organizational process and communication skills, both verbal and in writing. Furthermore, the ability to multitask and to provide excellent customer oriented service is essential. The Administration+Sales Assistant interacts with the General Manager and the Head of Sales at VON ARDENNE Vacuum Equipment (Shanghai) Co., Ltd. on a day to day basis and is supporting the General Manager Assistant, Sales, Sales Managers and other Engineers.
YOUR TASKS
- Answering phone calls regarding any sales related questions or concerns;
Scheduling visits to existing or potential customers for the Sales team members;
Making travel arrangements such as booking hotel rooms, flights our train tickets for members of the sales, service and assembly teams attending customer visits and installations, to conferences or for trade shows;
Maintaining the inventory ?of sales materials and supplies such as brochures, promotional items and product samples, and ensuring that the sales team members have an adequate supply of these materials at their disposal, ordering new materials if needed and arranging the shipment of sales materials to trade shows, conferences, etc.;
Updating customer records in the company database as required, tracking sales leads and customer orders;
Monitoring active purchase orders and ensuring that orders are completed on time;
Forwarding any requests about production or product distribution or details about advertising or marketing to the corresponding departments and redistributing the answers to the sales team members;
Preparing and writing protocols during sales meetings;
Representing VON ARDENNE at exhibitions;
Scheduling the company drivers' daily arrangement, compiles tracking and maintenance of vehicle information;
- Procurement and distribution management of office supplies and post. Responsible for internal Company employees' attendance recording. Prepares and issues invitation letters for foreign employees and visitors to P.R. China.
YOUR PROFILE
- Bachelor′s degree in Business Administration or an equivalent qualification;
2+ years of experience in Sales or Administration Assistance in a foreign or JV company;
Strong knowledge of PC software (Microsoft Office suite, e-mail), familiar with CRM software;
Very good communication skills;
Ability to prioritize and meet deadlines in a fast-paced business environment;
Very good command of spoken and written English and Chinese is mandatory for this position, speaking German is a must;
High ability to work independently and without direct support and supervision;
Customer-oriented, problem-solving work style;
Clean and confident appearance;
Establishing and maintaining an excellent corporate image of VON ARDENNE;
- Ability to travel and attend trainings overseas.
