Position

Title: APAC Executive Assistant


Location: Shanghai

Reporting Relationship: President, IMI Critical Engineering APAC

Main Focus and Challenges

Provide assistant service for President of IMI CE APAC


Specific Responsibilities

1. Provide high level secretarial and administrative support for APAC President, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization’s operations, procedures, and people.

2. Make sure daily calendar is managed effectively to Manage the APAC President’s appointments and schedules and make travel arrangements, and preparation of expenses report in line with the company policy and process.


3. Gather, compile, verify and analyze information for the executive to use in documents such as memos, letters, reports, speeches, presentations, and news releases.

4. Plan, organize and arrange APAC meetings/leadership conferences/workshops/activities to ensure smooth running, including venue/schedule/facility, pre-compilation and reviewing meeting materials, taking and distributing meeting minutes etc.


5. Support APAC President to track APAC Leadership Team Major Projects Progress through various monthly report.

Qualifications and Experience

1. Bachelor degree or above, minimum 6 years administration experience with 2 years team management experience or Executive Secretary experience.

2. Fluency of English and Excellent written and oral communications skills

3. Able to work in a collaborative environment. Excellent problem solving skills.


4.Self-motivation, ability to accept and respond to challenges in a positive manner


5. Effective interpersonal skills dealing with people in a variety of functions


6. Strong at Computer skills, MS Word, MS Excel, MS PowerPoint and Internet.
