Position Overview Manage all aspects of building operations, office design, space planning, office relocations, construction programs, office services and occupant services in Company-owned and leased facilities in shanghai, beijing, Hongkong, ensuring that the needs of the business and associates are continually met. Ensure that all services required to effectively support business operational needs are delivered in an efficient and timely manner at the most appropriate cost. The services include are:

  • Vendor Management

  • Financial Management

  • Process Management

  • People Management

  • Client Satisfaction

  • Knowledge of industry best practices Function Specific Activities Key Responsibilities

  • Facilities Services: daily operations, maintenance and repair programs, property management liaison, refuse removal, safety program, supplies, construction projects, pest services and utilities,

  • Office Services: satellite and/or cable TV, multi-purpose and meeting room set up / breakdown, document management, multi device copier/ printing, taxi services, company vehicles

  • EOSH (Environmental Health & Occupational Safety) and Security Services: safety program, safety preparedness, safety equipment, security access, security services, security access system - badging and CCTV

  • Administration (vendor contracts, PO's, invoices, monthly budget management/rolling estimates, business plan input, business continuity plans and new hire orientation, tenant Management

  • Direct, negotiate and ensures contract performance of vendors which provide support services.

  • Plan and manage capital and operating expenses.

  • Accountable for design and construction management of multiple complex projects simultaneously with full responsibility for client management, requirements gathering, reporting, cost oversight, scheduling, and project delivery.

  • Oversight of major facilities issues and landlord relationships.

  • Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve complex results.

  • Responsible for setting project, department and/or division deadlines

  • Develops and implements financial policies and procedures.

  • Approves and oversees department budget.

What you need to be successful

  • At Least 8 years in Facilities Management and Vendor Outsourcing

  • 5 Years in safety / prevention area

  • 5 years of communication & working with external providers

  • University/bachelor's degree

  • Multi-language fluency is essential, English is mandatory Technical Skills

  • Working knowledge of building codes, legal concepts, contract preparation

  • Ability to read and interpret construction documents and design drawings

  • Detailed knowledge of building Heating, Ventilation, and Air Conditioning systems along with building life safety systems

  • Interaction between building systems and furniture systems

  • Detailed knowledge of commercial office construction, engineering, and interior design concepts
