The APAC Regional PMO Associate Director will have program/portfolio/project management, business planning and strategic communications accountabilities for Commercial APAC region. Currently the APAC region includes China, Japan, AA & ANZ. This role based in Shanghai, China, and reporting to Head of Commercial Procurement APAC & Japan. The role holder will be a member of the APAC Leadership Team with following core areas of focus.
- Drives selected strategic global / regional projects to make the most impact in APAC region, such as Coupa, APP, 3PRM, APAC threshold review, etc. Maintains project accountability, from initiation to close, to deliver effective solutions that meet approved customer and business needs. Determines and delivers solutions to approved budget and schedule commitments whilst meeting required quality and compliance standards. Focus areas include stakeholder management, risk management and delivery of business benefit. Follows established project management standards and lead / contribute to continued development of the project / programme management capability.
- Provides an effective project portfolio management overview such as having a consistent approach in portfolio management across the region and manage regional projects with prioritization and resources allocation to support the Procurement 2025 strategy
- Leads or participates global / regional projects in a proactively manner to increase APAC presence and impact whilst helping expand the global / regional function’s footprints in the region / market.
- Collaborate & coordinate with the Global Coupa (P2P) programme team to support the APAC implementation. Deliverables would include - join the ‘on the ground’ APAC programme team members and represent the Coupa implementation in China and Japan, support with local programme implementation planning, resource alignment with the global programme team and support the overall change management efforts in the APAC region
- Help the Global Coupa programme team deliver the Procurement specific deliverables – these include the design and build of buying channels for Coupa as well as the supplier enablement.
Typical Accountabilities
- Creates and executes project work plans and revises as appropriate to meet changing needs and requirements to ensure deliverables are met effectively and efficiently
- Mobilises project resources for programme.
- Manages large and complex projects, including the initiation and maintenance of supplier contracts
- Identifies resources needed and assigns individual responsibilities
- Manages relationships with key business stakeholders and ensures that business requirements are effectively captured and the impact of project/programmes are understood by the business
- Builds and leads project teams, communicating roles and responsibilities whilst encouraging teamwork and collaboration amongst the team and business stakeholders
- Applies highly developed specialist knowledge and skills in project management, project planning, budgets and methodologies
- Reviews deliverables prepared by team and provides sign-off prior to engaging business stakeholders
- Resolves complex quality and compliance risks and issues and ensure team adopts quality assurance policies and procedures
- Drives collaboration and knowledge sharing amongst project teams
- Identifies and drives resolution of risks
- Undertakes engagement reviews and quality assurance procedures
- Manages project budget and ensures escalation of cost changes
- Develops project planning and action logs, risks and issues reports
- Develop transition plans into business areas and ensure controlled hand-overs to users and business as usual processes
Education, Qualifications, Skills and Experience
Essential
- Bachelor Degree or above
- Experienced, proactive communications professional and strategic thinker with a demonstrated capacity for skilful management and multi-tasking, with good judgment, excellent communication and interpersonal skills, and proven crisis management abilities.
- Strong project, program and portfolio management skills and the ability to manage multiple priorities simultaneously, often under tight deadlines, are needed.
- Excellent business planning acumen
- Successful track record in a large, complex organizational environment. Must have the proven ability to advise senior leaders effectively.
- Strong experience in the internal communications side of a global company, with a successful track record of developing and delivering innovative and highly engaging internal communications to achieve tangible outcomes.
- Ability to innovate, think strategically and conceptually, listen carefully, as well as to influence and persuade others. The position requires an extremely high level of professionalism, sound and mature judgment, collegiality, and thoughtful organization.
- Excellent analytical, verbal, and written communication skills along with a high level of diplomacy, discretion, and problem-solving ability.
- Having experience to work cross functionally in a global environment, and ability to facilitate among diverse stakeholder groups that have different priorities.
- Good knowledge of procurement operating principles and metrics and previous experience in relevant roles
- Excellent command in English both oral and written.
- Experience of managing and controlling a budget
