Key Responsibilities:
1. To track and submit teacher attendance.
2. To track and store student attendance.
3. To help teachers to re-arrange classes and inform students through tutors.
4. To prepare dept. contact list including phone numbers and email addresses.
5. To deal with request for office supplies.
6. To assist Heads of School & Director of External Engagement in academic admin matters.
7. To assist with organisation of exams.
8. To assit with the organisation of UCAS applications.
9. To assist with storage of exams and coursework.
10. To assist with data entry.
11. To collect and submit teachers’ overtime claim form, and any travel claims.
12. To help students with their Turnitin system problems.
13. To prepare and submit book orders.
14. To manage coursework collection.
15. To handle incoming calls and walk-in students.
16. To coordinate meetings and room bookings.
17. To collect meeting agendas.
18. To take and distribute meeting minutes.
19. To update and create files as required.
20. To provide translation assistance.
21. To carry out general filing, photocopying, scanning, and filing of general notes.
22. To ensure academic quality files are kept up to date.
23. To liaise with other departments.
24. To ensure that all student facing systems are set-up at the start of each academic semester.
25. The issue of invitation letters to visiting academics.
26. To organise official travel arrangements for academic staff.
27. Ad hoc works allocated by the hiring manager.
Professional / Tertiary Qualifications:
University graduate or above in relevant field with outstanding English language mastery, preferably with relevant work experience;
Knowledge and Experience and others:
1. Good mastery of MS Office and the use of internet;
2. Excellent communicative and people skills;
3. Cross-cultural awareness;
4. Working as part of a team;
5. Flexible and able to cope under pressure.
