Job Description
Position:          Accounting Receivable Specialist
Department: Finance
Purpose:          To manage Accounts Receivable while making sure it stays in good financial standing. Create invoices, send bill to customer and process payment using a variety of payment methods. Protects hotel from Bad Debt accounts from chargebacks and uncollectible accounts.
Reports to: Director of Finance and Assistant Accounting Manager

 

Essential Functions:   

  • Manage and maintain the hotel cash vault and house banks.
  • Provide change and petty cash upon request and Department Head’s approval.
  • Provide House Banks to eligible associates and prepare contractual agreement.
  • Handle guest disputes and billing inquiries from departed and in house guest.
  • Review open folios and advise team of billing discrepancies.
  • Provide accurate and timely billing for Wholesalers and Airline Groups.
  • Follow up with collection on billing within company standard.
  • Keeping accurate records of payment that was received from customers.
  • Maintain a positive and accurate AR Aging acceptable to company’s standard.
  • Ensure Accounts Receivable is in line with standards set by The Director of Finance.
  • Follow up with collection of accounts, billing inquiries and discrepancies.
  • Follow up with Merchant Chargeback inquiries and provide the appropriate documentation.
  • Conduct weekly AR Meeting with the Accounting Manager and the operation team.
  • Carry out other duties that may from time to time be assigned by the Director of Finance.
  • Attend meetings as required by Director of Finance.
  • Carry out other duties that may from time to time be assigned by Director of Finance, Accounting Manager or General Manager.

Tools and Equipment:

  • Use of Opera (PMS), Micros, M-3. Word, Paychex
  • Use of telephone system    
  • Use of department paging/radio communication system

Working Environment:

  • Sitting, walking, standing, bending, writing, typing, filing.
  • Occasional lifting up to 25 lbs.
