Job Description
Key Responsibilities

  • Assist manager in organization and administrative related duties
  • Handle all domestic and international travel arrangements (including air, hotel & ground transportation)
  • Handle internal and external procurement for office and project need
  • Ensure that the office is organized and operating effectively and efficiently; maintain files and records
  • Research and/or prepare materials for meetings and presentations; compile reference materials as needed
  • Attend regularly scheduled staff and team meetings to take meeting minutes
  • Assist with planning and working assigned special Penang-based events, such as internal department conferences, customer events, team building
  • Office and project logistics support

Qualifications
Qualifications and Skills

  • Diploma / Certificate / Bachelor Degree in business or equivalent work experience
  • Minimum >1+ years of relevant industry experience in support executive officers, preferably with a medium sized of large corporation
  • Ability to anticipate the needs of the group effectively, prioritize between requests
  • Solid experience making domestic & international travel arrangements (including air, hotel & ground transportation)
  • Exceptional calendar management skills (scheduling meetings both internal & external, conference calls, appointment, and travel)
  • Expert ability to use MS Word, Excel and Powerpoint. Familiar with O365.
  • Deftly handle a wide variety of duties and situations, often under tight deadlines
  • Demonstrated ability to handle sensitive and/or confidential material and information with discretion
  • Demonstrate strong diplomatic acumen, sense of responsibility, and integrity
  • Able to judge the relative importance of issues and act independently to address them, applying the appropriate level of urgency and drive to achieve results
  • Excellent interpersonal skills; has positive, friendly and helpful attitude
  • Excellent communication skills, including verbal, written English (with solid grammar skills)
  • Outstanding customer service skills, including excellent phone etiquette
  • Superior time management and multitasking skills with demonstrated ability to successfully handle multiple projects/assignments
  • Proven ability to quickly learn new systems and processes.
