Summary Provide administrative support to the manager and department including high-level clerical support.
Essential Duties and Responsibilities include the following. Other duties may be assigned
Manage and maintain manager’s schedule and incoming calls.
Schedule and organize meetings, travel, conferences and department activities for all members of the department.
Under supervision, prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
Open, sort, and distribute incoming correspondence, including faxes and email.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
File and retrieve corporate documents, records, and reports.
Organize and prioritize large volumes of information and calls.
Greet visitors and determine whether they should be given access to specific individuals.
Prepare responses to correspondence containing routine inquiries.
Additional Responsibilities:
Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Required Skills
Ability to read, write, comprehend and speak English sufficiently well to perform job functions.
Skilled at: Microsoft Office Skills, Verbal Communication.
Required Experience
High School Diploma or general education degree (GED) and 1-2 years related experience or equivalent combination of education and experience.
