Job Description

Admin. functions:

  • Opens office on a daily basis, manage lobby environment and meeting rooms

  • 负责公司前台相关工作,管理大堂环境和公司会议室

  • Answer all incoming telephones calls to the main number and route calls or provide answers to all inquiries.

    接听来电,并转接;同时为来电查询提供答案

  • First line of contact with clients making sure client is assisted properly, interacts with and assists clients when necessary.

与客户的第一线接触,确保客户得到正确的协助

  • Handle the visiting relevant events and professional guests’ reception

    处理来访的相关事宜并提供专业的接待

  • Send and receive letters and courier; develops correspondence and distributes accordingly.

收发信函及快递;

  • Creates and manages contact database

    创建和管理公司联系人数据库

  • Responsible for the procurement and management for office supplies

    行政办公用品的采购及管理

  • In charge of management of printers, office waters, coffee machines and clearness, etc.

    负责公司打印机,办公室饮水机和咖啡机的管理等

  • Ensure the office floor clean and tidy including pantry room, meeting rooms and lobby

    保持前台区域的干净整洁,包括茶水间,会议室和大堂


HR functions:

  • Provide necessary HR support for interview arrangement

    为面试安排提供必要的支持

  • Assist in sending HR/Admin. notice to staff, such as holiday and building management office notices

    协助人力资源经理发放公司范围的通知,包括假日安排和大楼管理处的通知

  • Assist in coordinating with building management office for related affairs

    协助与大楼管理处协调相关物业事宜

  • Assist in the handling of foreign affairs related to the license affairs, such as the employment permit/residence permit extension, and visa renewal

    协助处理外籍员工相关证照手续,包括就业许可证申请,延期和签证的续签

  • Assist in the handling of non-shanghai residence affairs related, such as Shanghai permanent Hukou application and Shanghai Residence Permit

    协助处理非上海户籍员工的户口申请和上海居留证申请的相关事宜

  • Assisting HR manager to find the appropriate administrative-related suppliers and establish the good relations with the suppliers.

    协助人力资源经理寻找合适的相关行政供应商,并建立与供应商的良好关系。

  • Assist HR manager to organize the internal activities, such as monthly social event, lunch and learn seminar, annual party.

    协助人力资源经理组织公司内部活动,包括每月的午餐研讨会,年会等。

  • Assume security guard access control by verifying employee identification, issuing visitor passes, observing and reporting any unusual or suspicious persons or activities. Etc.

    通过验证身份,观察和报告任何不寻常或可疑的人员或活动来实现公司访客的安全管理


Other supporting functions:

  • Prepare the expense reports for Senior Studio Staff

    完成公司高层员工的费用报销单

  • Complete Admin. cost report monthly (Express delivery/office supplies/business card, etc.)

    完成每月行政相关费用的账单

  • Other admin. support duties assigned by supervisors

    其他主管安排的相关事务


Core Qualification:

任职资质:

  • College degree above

    大专以上学历

  • At least 2 years working experience in Administration and HR

    两年以上行政和人力资源领域工作经验

  • Demonstrates interpersonal, written, and verbal communication skills.

    良好的人际关系处理能力,书面和口头的沟通能力

  • Hardworking and service oriented, cheerful personality

    工作勤奋,服务热情,性格开朗

  • Organizational and technical skills. Sophisticated telecommunications skills using multi-lines phones.

    良好的组织和相关工作技能,有使用多线电话的技能

  • Thorough applied knowledge of MS Outlook, MS Excel, MS Internet Explorer, MS Word, and other necessary business-related computer applications.

    详细了解MS Outlook, MS Excel, MS Internet Explorer, MS Word 以及其他必要的与业务相关的电脑技能
