POSITION PURPOSE
We are seeking a capable, enthusiastic and versatile Administration & Accounting Officer to facilitate the smooth-running of the Trust, and to provide a range of administrative and technical support to its team.
This is a good opportunity for someone who thrives in a busy and varied post, and who enjoys playing a central role in the running of an organisation. Manan is a young Trust and there is plenty of scope to develop the role and to improve the Trust’s systems and processes. The role will also provide exposure to the world of international development, with the chance to get to know our partner organisations, to understand the issues they are tackling and the challenges they face.
SPECIFIC ACCOUNTABILITIES
- Office management. Liaise with third parties as necessary – banks, accountants, lawyers, IT, HR, company secretary and other suppliers. Ensure the prompt payment of invoices.
- Team support. Manage team diary and holiday diary, process staff expenses, arrange of international travel logistics for the team including visas, flights, accommodation, and itineraries.
- Record keeping. Manage filing system and internal database (Salesforce).
- Accounts management. Manage account records and transactions. Prepare financial reports and budgets. Provide support on audit process.
- Systems & process development. Monitor and adjust how we use our database, how we record information and how we maintain an effective audit trail to ensure that, administratively, we work as efficiently and effectively as possible.
- Board meeting management. Compile board papers, attend board meetings, take minutes and ensure all follow-up action is taken.
- Compliance. Keep up to date with changes in company and NGO legislation.
- Communications. Build good relationships with other Manan and FSSA staff, assist with internal communications activities.
SKILLS/EXPERIENCE
- A keen interest and belief in the work of the Trust as well as the non-profit sector more broadly
- Ability to work as part of a team, follow through with commitments, contribute to the success of others and communicate openly and honestly.
- Positive approach to tasks and responsibilities, self-motivated, and a willingness to get things done, no matter whether they fall within the candidate’s area of expertise or not.
- Excellent attention to detail.
- Demonstrated accounting or book-keeping experience.
- An interest in improving the systems and processes that support the Trust.
- Effective written and verbal communication with internal and external personnel at all levels.
- Excellent organisational skills. Ability to plan, manage and prioritise.
- IT Skills - Word, Excel, Powerpoint, Outlook. Experience with Salesforce and/or Xero is desirable.
