Job Description

The Supply Chain assurance team is responsible for helping drive a resilient, responsible, secure supply chain that amplifies customer confidence


As the Administrative Assistance, you will be responsible for but not limited to: 

  

  • Perform various administrative and project-related activities in support of the director and the entire group.
  • Drafts, composes, types, and proofs correspondence using current office software applications.
  • Creates and sustains systems for retention, protection, retrieval, transfer, and disposal of confidential information.
  • Schedules and coordinates logistics for meetings and events.
  • Organizes and manages calendar schedule(s) for the manager and/or department.
  • Makes travel arrangements and prepares expense reports.
  • Manages departmental recognition.
  • Serves as an information resource/communication channel for policies and procedures and is a resource for office-related software applications.
  • Assignments are complex and diversified in nature and require working within a geographically dispersed team. 3
  • Judgment is required in resolving moderately complex problems.
  • Calendar management, with shifting priorities and deadlines, booking complex domestic/international travel, managing travel details such as visas, welcome letters, and managing expenses.
  • Assess the importance of a phone call, email, or document and take appropriate action to involve the appropriate parties quickly and accurately.
  • Takes the initiative to manage logistics of the department/division such as maintaining divisional organizational charts, phone distribution lists, and divisional logistics needs.
  • Supports office administration with associated tasks (ordering office supplies, food orders, onsite needs).
  • Assists in coordinating activities across the organization, supplier/internal employee education/training webinars, events, conferences, F2Fs, etc: plans and organizes meetings and off-sites, prepares agendas, coordinates all logistics.
  • Manages tactical projects, general administrative duties such as order supplies, conference room coordination, generating shipping memos, employee engagement initiatives, supporting staff in new employee onboarding, etc.
  • Will work closely with other Senior and Executive admins to help facilitate timely and accurate planning needs.
  • Support a remote team at a similar level as the onsite team.
  • Handles sensitive and confidential information discreetly.
  • Understand department goals and priorities, anticipates needs, and initiate action, manage multiple priorities, and re-prioritize where necessary.
  • Arrange team Great Place To Work activities including team quarterly events.

Qualifications

You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

Minimum Qualifications:

The candidate must possess at least one of the following degrees plus the years of experience determined for each degree in the areas specified below  

  • The candidate must possess a Bachelor's degree in business management or a related field of study.
  • 3+ years of relevant experience in:
    • Administrative support.
    • SharePoint, Excel, and calendar management, including coordinating complex meetings that require senior management attendance.
    • Online tools such as expense reports, Travel tools, and Microsoft Office including Outlook, Word, Excel, PowerPoint.
    • Booking complex domestic/international travel.

  • This position is not eligible for Intel immigration sponsorship.

Preferred Qualifications:

  • Strong capability working with all Microsoft tools, Intel tools, purchasing, and finance systems.
  • Experience working with culturally diverse groups located across multiple geographies.
  • Familiar with the Intel tools.
