Job Description

Main Purpose主要目标:


  • Provide secretarial and administrative support to Plant Manager and his team

  • Project support to functional group or business support

  • Manage stationeries, pantry inventories, shuttle bus and admin related service

  • Coordinate with arrangement for visitors

  • Travel coordination across departments


    Key Accountabilities关键职责:

  • Takes the initiative to act quickly, professionally, and is flexible when managing many tasks simultaneously. Ensures accuracy, diplomacy, and judgment when handling telephone calls, documents, correspondence, or visitors.

  • Performs various administrative duties including preparing travel itinerary to include flight/hotel/ground transportation arrangements, manages plant manager’s email and calendars, prepares expense reports for signature, manages files/archived documents, and other requests for information.

  • Types correspondence, reports, and presentations into final format which reflects professionalism and formatting is consistent with type of presentation being made. Ensures company policy and procedures are adhered to.

  • Schedules meetings and ensures the room reservation/equipment/food orders are set up and starts (dial-in) the teleconferences, video conferences, WebEx/Live Meetings to get the meeting started.

  • Publish site newsletter to enhance internal communication by collaborating with functional group.

  • Acts as an information resource on organizational and company policies and procedures.

  • Manages numerous logs and reports where information from a variety of sources is requested and where action items and/or issues are resolved.

  • Applies knowledge of business priorities and company organization when assisting in the development, implementation and monitoring of internal operating systems and procedures.

  • Conducts special projects as directed. Provides project support to a functional group or business process as needed.

  • Interacts with peers and upper management on a daily basis.

  • Cognizant of business priorities, personnel, and company practices. Consistently follow department and Medtronic policies.

Experience and Knowledge经验与技能:


  • Minimum 3-5 years’ hands-on experience in providing secretarial and administrative support to high management and his team in a large multinational manufacturing environment.

  • Minimum 3 years’ experience in a coordinating role.

  • Computer literacy including sound knowledge of the MS Office suite of software and video/audio conferencing.

  • A team player with strong analytical skills, integrity, and a strong sense of responsibility to complete assignments on time, with the ability to perform under pressure in a fast-paced environment.

  • Fluent in English language.

  • Good communication and interpersonal skills, ability to articulate ideas clearly and concisely to people of all levels.

Qualifications任职资格:


  • Diploma in Business Administrative or related discipline.

  • Professional training in secretarial functions.
