Job Description

Under limited supervision and acting on own initiative, performs various administrative duties for Executive-level Managers, General Managers or Manager of department(s). Assignments generally involve work of a confidential nature and require a thorough knowledge of the practices and procedures of the function, company products, policies and programs.

 

 YOUR TASKS AND RESPONSIBILITIES

 

The primary responsibilities of this role, Administrative Assistant, are to: 

 

  • Assemble and analyze information; prepares reports, manuals, agendas, correspondence and memorandum as guided by general company practice;
  • Establish and maintain departmental databases and develops spreadsheets of importance to department;
  • Assist in meeting planning and preparation work needed, i.e., drafting agendas and broader communications;
  • Coordinate details of departmental meetings and/or on and off-site conferences and events;
  • Prepare materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and which combines materials from several sources;
  • Manage business travel arrangements;
  • Screen/ redirect calls, takes messages, handles mail;
  • Coordinate activities across departments and follows up to ensure that requests are carried out;
  • Process expense reports and payment of invoices;
  • Interface with other assistants to share and coordinate workload;
  • May cross train lower level assistants in the departments;
  • Perform additional accountabilities as required.  Additional responsibilities could include:
    • Temporary and Seasonal Hiring of Employees (MonTemps);
    • Time Keeping (Krono’s) and payroll management;
    • Grower Accounting (Seed Grower Contracts);
    • PO creation for vendors and contractors;
    • Shipping and Receiving Processes managing BOL’s;
    • SAP Operations.

Required Qualifications:

 

  • High school diploma with a minimum of 2 years of relevant experience or an Associate’s degree with 0 years of experience;
  • Proficiency in PC applications such as Word, Excel and PowerPoint;
  • Ability to manage multiple competing priorities;
  • Strong interpersonal skills;
  • Highly organized;
  • Able to work with employees at all levels of the organization.

 

Preferred Qualifications:

 

  • Four years of relevant experience;
  • Experience working with SAP;
  • Experience working with contracts;
  • Able to work with remote teams at other sites;
  • Experience working in an Agricultural manufacturing, production or supply environment.

 

Relocation is not available for this position.
