In this role, you have the opportunity to
Provide administrative support to ensure efficient operations of the Aging and Caregiving (ACG) team. This role supports management and team members through a variety of tasks related to organization and communication; is knowledgeable of concepts, practices, and procedures; communicates effectively via phone and email, and delivers high quality results in a timely manner.
You are responsible for (but not limited to)
Provide administrative support to ACG Leadership and Teams (100 + staff), including but not limited to:
Performing, entirely independently, the full range of secretarial tasks, which involve a very high level of responsibility and detail
Creating and monitoring facilities work orders through to resolution
Arranging, coordinating, and preparing documents, meetings, conference calls, video conferences, and other related events
Admin Staff to manage projects as related to the Global Business Services Nashville location
Support Director by screening independently incoming calls, e-mails, and responding in a timely and professional manner
Handling details of a high confidential and critical nature
Acts as a liaison between various departments and levels of the company
General administration and calendar management; preparing and submitting expense reports on a timely basis
Maintaining supplies inventory, anticipating needs to ensure the team is fully functional
Assist leaders with all on-boarding activities for team new hires
Participate and support campus-wide events
Assist in creating and maintaining departmental procedures
Seek out opportunities to challenge yourself and others; finding new ways to positively affect the team, the customer, and the business
Escalate items as needed to management, partnering to drive solutions
Other duties and responsibilities as assigned

To succeed in this role, you should have the following skills and experience
Bachelor’s degree in business or related field preferred, or equivalent experience
3+ years of experience in administrative team support within a corporate environment
Passion for customer experience, operational excellence and continuous development
Exercises judgement to plan and accomplish goals with a wide degree of creativity and latitude
Eager to take on new tasks/responsibilities; develops and shares best practices
Excellent and concise oral and written communication skills, including active listening
Strong interpersonal skills, with positive attitude
Ability to work in a fast-paced environment, advocating change
Strong organizational skills and aptitude for detail
Proven ability to use good judgment and make confident decisions under defined policies and procedures
Ability to work under minimal supervision on day-to-day activities, maintaining a high degree of integrity
Practitioner of continuous improvement methodologies
Overtime as required to meet business demands
Intermediate to advanced skills in MS Office (Word and Excel)
Proficient typing skills required
