Job Description
PRIMARY FUNCTION: Support Plant Manager and Leadership Team requirements. Organize travel arrangements for Eaton Employees at Haina location; as well as visitors logistic to site. ESSENTIAL FUNCTIONS: Responsible to coordinate Plant Manager’s Meetings, update schedules and provide proper follow up to all events including: written agreements, letters, e-mails and calls. Responsible to coordinate, communicate and assist Plant Meetings, Leadership Teams Meetings and overall meetings involving visitors, plant LT or local employees. Coordination of travel arrangements for Eaton employees at location: Indoor: Hotel reservation, car rental/ground transportation, cash allowance and flight schedules. Outdoor: Hotel reservation, car rental/ground transportation and flying schedules, update fares and hotel rates periodically. Responsible for visitors’ hotel reservations and ground transportation. Obtain reasonable fares from travel agencies as well as hotel/car rental corporative rates as per Eaton’s policies and fulfill the necessary procedures for approval. Maintain assigned Conference Room's 5S and it’s electronic equipment in good conditions. (Multimedia, overhead projector, etc) Support and request to Piisa security team access code for general visitors, for the building assigned. Supply food refreshers for visitors and contractors. Insurance of purchase order requisitions for: Kitchen supplies. Air tickets supplies. Catering services Produce the following monthly reports: Traveling report including allowance costs for PM Food compliment consumption control. Administration supplies / office material cost control. Request and process Travel Authorization Request (TAR) for all trips (meetings or trainings). Support all other requirements from Plant Management and/or the plant Leadership Team Acting as liaison officer is responsible for coordinating Plant Tours (PIISA/Visitors, Companies/Eaton Managerial Staff) that emphasize positively our role as a contributor to the country’s economic growth. Support activities / celebration logistics related to refreshments, decoration, and or specific requirements (activities such as: outside Leadership Team meetings, etc) Comply 5’S requirements in their assigned area. Responsibilities related to Health, Safety and Environment (EHS): Execute 100% of monthly safety inspection, in coordination with the MESH Coordinator. Assist to all EHS training assigned Support in all safety procedures (MESH). #LI-MA1 Qualifications SPECIALIZED KNOWLEDGE: Bachelor’s Degree in Bilingual Executive Secretary or Business Administration. Minimum 1 - 3 years of experience as assistant. Fully bilingual (English/Spanish) PC/Computer knowledge: Microsoft Office (Word, Excel, PowerPoint) & Outlook.
