NCIC-Immersion School is looking for a highly collaborative Administrative Assistant to support the School Counseling Department. The Administrative Assistant to the School Counseling Department is the direct link between the School Counselors and NCIC personnel, students, parents and the community as a whole. This position reports to the Administrative Manager.
The Administrative Assistant to the School Counseling Department works specifically in facilitating the sharing and development of information, education, resources and support through both translation and interpretation. This facilitation happens in many realms including psycho-educational student groups, parent meetings, student sessions, student/parent/staff workshops and email correspondence. This position requires knowledge regarding child development and protection, social and emotional development and appropriate language in approaching challenging topics with others. NCIC is looking for a candidate who is passionate about overall student wellbeing and the importance of fostering love in our community.
[Responsibilities]
- Coordinate and facilitate communications with School Counselors and staff, students, families and community agencies, including translation or interpretation if needed.
- Maintain strict confidentiality of services provided by School Counseling Department.
- Work closely with School Counselors to ensure that the message being shared is in line with School Counselor’s approach and desired language use.
- Performing general clerical duties which may include: photocopying, faxing, mailing, filing, incoming and outgoing phone calls and coordinating appointments.
- Coordinate records/tracking for counseling data analysis and service documentation.
- Coordinate records related to student attendance with Registrar, bringing any concerns excessive to the attention of the School Counseling department in a timely manner.
- Respond to parent questions regarding the School Counseling Department services
- Co-Coordinate School Counseling Department events including parent/student workshops, parent-conference support, guest speakers and school-wide initiatives.
- Support Admissions & Registrar’s office with communication and duties as directed.
- Performs other duties as assigned.
[Qualifications]
- College degree or above (psychology, sociology, counseling, social work preferred).
- 2 years relevant work experience or education in child and family support.
- 2 years relevant work experience in administrative/multinational work environment.
- English/Mandarin bilingual proficiency in both speaking and writing.
- Professional verbal and written communication skills.
- Comfort in approaching difficult conversation in parenting, emotions & child protection.
- Understanding of crisis management (training preferred).
- Willingness to engage in a professional learning community that prioritizes wellbeing.
- Good sense in handling urgency and ability to efficiently multi-task; attention to details
- Advanced PC skills in MS Excel, Word, PowerPoint and Outlook.
- Planning, organizing and time management skills.
- Flexibility in adjusting to organizational growth and a variety of circumstances.
