Our location in Abbott Park, IL (Chicago North Suburban area) currently has an opportunity for an Administrative Assistant II and will report to our Divisional Vice President, Strategic Operations, for our Abbott Nutrition division's Supply Chain team.

This position will consistently interact with high-level executives and will frequently handle confidential or business-sensitive information. The person in this role will be the primary point of contact for their manager's schedule. They must proactively identify and resolve scheduling conflicts. They will maintain and manage calendars, including meeting and travel scheduling and domestic and international travel arrangements, in a dynamic environment with shifting priorities. Must help keep the DVP's schedule organized and accurate.

Additional Responsibilities:

  • All administrative functions of the department to include: Answering phones, calendar management, scheduling travel, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, handling teleconference and web-based meetings, acting as a liaison for remote access issues, and other related administrative tasks

  • May include some support for tracking budget expenditures

  • Coordinate and maintain departmental files, as assigned, in compliance with corporate and government regulations

  • Follow purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable)

  • Order business cards and stationery

  • Use intermediate to advanced software skills

  • Use and understand Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site, and employee performance management systems (as applicable)

  • Coordinate new employee office set-ups and onboarding

  • May train/coordinate work for new Administrative Assistants

  • Data is typically employee-level or one-dimensional

EDUCATION AND EXPERIENCE, YOU’LL BRING

Required:

  • High School Diploma or GED OR an equivalent combination of education and work experience

  • 3 years of more of administrative or equivalent experience

  • Ability to operate with general instruction and some supervision

  • Intermediate to advanced knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook

Preferred:

  • Some college or a Degree ideal but not required
