Full-Time, Non-Exempt, Hourly, Support Staff Appointment

The administrative assistant II provides administrative and clerical support for the leadership gifts team within the Division of College Advancement. Areas of specialization include preparing travel arrangements and providing focused administrative and database support to leadership gift officers. This position provides general back up support to the administrative operations team. The administrative assistant II will have the ability to work independently on projects, from conception to completion, and must be comfortable working in an evolving, high pace environment while handling a wide variety of activities and confidential matters with discretion. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Leadership Gifts Team
  • Provide daily support to the leadership gifts team including calendar management, scheduling team and individual meetings, preparing agendas and supporting documents, scheduling conference rooms, and providing technical and computer support as needed
  • Provide support for video call-in meetings; work with remote staff to ensure their ability to participate in all meetings and learning opportunities within the division via video call-in software
  • Support travel by the leadership gift officers including making travel arrangements, preparing itineraries, and assisting with the preparation of pre- and post-visit correspondence
  • Provide efficient office management and clerical support for leadership gift officers, including calendaring and general correspondence
  • Support the recruitment of new leadership gifts team members through liaising with HR, setting up interviews, and making travel arrangements
  • Operate all office equipment, including personal computer and printer, photocopier, telephone, and fax
  • Serve as a resource for team members to support their data management needs and interaction with the Raiser’s Edge database and Prospect Finder tool; assist with data management including data entry, queries, requests, and resolving issues
  • Proofread and format correspondence generated by the team in accordance with Colby standards
Administrative Operations
  • Provide general back up support for other College Advancement administrative assistants as appropriate
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice
QUALIFICATIONS:
  • High school diploma or equivalent required; professional coursework or post-secondary education are a plus
  • High level of motivation and organization
  • Three or more years of previous administrative and calendar management experience
  • Attention to detail and a high degree of accuracy
  • Talent to manage multiple projects and priorities while working within deadlines to achieve ambitious goals
  • Excellent written and verbal communication skills
  • Highly developed computer skills including extensive experience using Microsoft Office Suite; Google Docs; email, web, and database applications, as well as an interest in and ability to learn new computer programs with ease and in a self-guided manner; experience with a customer relationship management (CRM) system is a plus
  • Must possess exemplary interpersonal skills and the ability to interact with staff and management throughout the College and with external constituents
  • Ability to work collaboratively in a complex fast moving environment and to make an impact through work as a member of a team and diverse community

KEY RELATIONSHIPS:

Reporting to the director of leadership gifts, this position supports the leadership gifts team in addition to being one of the eleven administrative assistants who support the Division of College Advancement. This position also works directly with other departments, faculty, staff, students, alumni volunteers and donors, parents, and visitors.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

General open office and campus environment. Position involves sitting, although frequent movement is necessary. Occasional lifting is required. Computer usage involving repetitive hand/wrist motion is also necessary.
