The Administrative Assistant II provides administrative and clerical support for the prospect research and donor relations teams within the Division of College Advancement. Areas of specialization include compiling biographical information, writing introductory bios, data management, acknowledgment letter preparation and assistance with events. The administrative assistant II will have the ability to work independently on projects, from conception to completion, and must be comfortable working in an evolving, high pace environment while handling a wide variety of activities and confidential matters with discretion. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
  • Provide daily support to the prospect research and donor relations teams including calendar management, scheduling team and individual meetings, preparing agendas and supporting documents, scheduling conference rooms, and providing technical and computer support as needed
  • Provide efficient office management and clerical support, including drafting general correspondence, submitting work orders, and expense reports
  • Operate all office equipment, including personal computer and printer, photocopier, telephone, and fax
  • Serve as a resource for team members to support their data management needs and interaction with the Raiser’s Edge database and Prospect Finder tool
  • Assist with data management including data entry, queries, requests, and resolving issues
  • Assist prospect research with writing event bios for presidential events, and updating alumni and parent records as directed
  • Provide support to the business of donor relations including but not limited to mailings, producing acknowledgment letters for the College’s leadership, donor recognition plaques, data management for stewardship records, and inputting actions related to stewardship
  • Develop solutions or suggestions to make the office and routine processes more efficient
  • Provide general back up support for other College Advancement administrative assistants as appropriate
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice
QUALIFICATIONS:
  • High school diploma or equivalent required; professional coursework or post-secondary education are a plus
  • Three or more years of previous administrative and calendar management experience
  • Attention to detail and a high degree of accuracy
  • Talent to manage multiple projects and priorities while working within deadlines to achieve ambitious goals
  • Excellent communication (written and verbal) and organizational skills with a high level of motivation
  • Highly developed computer skills including extensive experience using Microsoft Office Suite; Google Docs; email, web, and database applications, as well as an interest in and ability to learn new computer programs with ease and in a self-guided manner; experience with a customer relationship management (CRM) system is a plus
  • Must possess exemplary interpersonal skills and the ability to interact with staff and management throughout the College and with external constituents
  • Ability to work collaboratively in a complex fast moving environment and to make an impact through work as a member of a team and diverse community

KEY RELATIONSHIPS:
Reporting to the assistant vice president of advancement strategy and donor relations, this position supports the prospect research and donor relations teams in addition to being one of the eleven administrative assistants who support the Division of College Advancement. This position also works directly with other departments, faculty, staff, students, alumni volunteers and donors, parents, and visitors.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
General open office and campus environment. Position involves sitting, although frequent movement is necessary. Occasional lifting is required. Computer usage involving repetitive hand/wrist motion is also necessary.
