Summary: The U.S. Mission in Shanghai is seeking eligible and qualified applicants for the position of Administrative Assistant.


The work schedule for this position is:

  • Full Time (40 hours per week)

Start date: Candidate must be able to begin working within a reasonable period of time of receipt of agency authorization and/or clearances/certifications or their candidacy may end.


Supervisory Position: No


Duties: The Administrative Assistant reports to the Management Supervisor and serves as a primary liaison between the Consulate and the Shanghai Foreign Affairs Office (FAO) in the field of Chinese visa and diplomatic identity card issuance and the accreditation and registration process. The Administrative Assistant provides full range of diplomatic identity card and visa support services to American employees and their dependents. The Administrative Assistant responds to requests for routine, urgent and unusual services and translates incoming and outgoing diplomatic notes and documents. The Administrative Assistant arranges meeting between Management Officer and the Shanghai FAO regarding bilateral issues. The Administrative Assistant acts as Main Timekeeper for USDH (US Direct Hire) timekeeping issues, works with HR (Human Resources) payroll liaison for LE Staff payroll issues and also completes special projects as assigned.


Qualifications and Evaluations

Education: Completion of two years college studies is required.


Requirements:

EXPERIENCE: Two (2) years of experience in administration, customer service, business administration or HR management in international or governmental organizations or private companies is required.


Evaluations:


LANGUAGE: Level 4 (Fluent) Speaking/Reading/Writing in English is required. (This will be tested.) Level 4 (Fluent) Speaking/Reading/Writing in Chinese is required.

SKILLS AND ABILITIES:

  • Must have strong interpersonal, communication, organizational, and customer service skills.
  • Must have the ability to work independently and to learn computer software, including MFA (Ministry of Foreign Affairs) systems for processing the diplomatic list and diplomatic accreditation, Microsoft Office, including Microsoft Word and Microsoft Excel and similar office programs.

Qualifications: All applicants under consideration will be required to pass medical and security certifications.

The certification letter should be on letterhead of the appropriate military branch of the service and contain (1) the military service dates including the expected discharge or release date; and (2) the character of service.
