Position Title: Administrative Assistant - Oncology
Position Type: Full-Time, Regular

As a member of the Oncology team, the Administrative Assistant (AA) provides daily administrative support to the Oncology Director, in the implementation of their roles and responsibilities. Also acts as a backup for the Executive Assistant in Oncology, ensuring confidentiality is maintained at all times.
- Ensure Cost Center budget targets are achieved by accurately and efficiently processing cost centre expenses and creating purchase orders as required, includes generating monthly expense report for Director, as well as entering all budget revisions
- Support and manage applicable Operational budgets
- Explore and communicate reasons for variations in cost centre budgets to help find the most efficient phasing, and updates RBU (Rolling Business Update) and ABU (Annual Business Update) budgets as required
- Identify, develop, implement and support initiatives that streamline processes to improve efficiencies within the AA team
- Schedule and organize internal and external meetings in collaboration with managers and team members. Also responsible for the coordination and management of accommodation, travel, meals, and audiovisual requirements as needed
- Ensure compliance with AstraZeneca’s Code of Conduct and company policies and procedures relating to people, finance, technology, security and Safety, Health and Environment
- Process POs, invoices, honorarium, doctors expenses, sponsorships and Veeva requests
- Maintain and track applicable brand spends
- Process accruals at month end
- Generate financial reports for applicable brands and help with the submission of monthly variance report
- Liaise with suppliers as needed to clarify relevant details of estimates/invoices, accruals and billing status, and address their queries
Qualifications:
- Post-secondary education is required
- Proficient on the MS Office suite with advanced skills in MS Word, Excel, PowerPoint, and Outlook
- Excellent communication (verbal, written) skills are mandatory
- Ability to work in a team environment, supporting both head office and field based employees
- Self-motivated, demonstrates a “can do” approach, and able to prioritize to drive projects through to completion
- Superior organizational and time management skills with the ability to manage multiple priorities simultaneously and work independently
- People focused with ability to maintain high levels of confidentiality and discretion – demonstrates good judgment and professionalism
- Ability to challenge current processes to enable the department to gain on efficiencies
- Bilingual (English/French) would be an asset.
