Our Patient Safety Team

What you’ll do
- Provide administrative support to the day-to-day operations (e.g., Ml request fulfillment; dissemination of new product monographs to stakeholders; data entry; office supplies, mail, couriers management etc.) of the Patient Safety/Medical Information and Regulatory Affairs/Quality Assurance departments.
- Oversee interactions and account owner of external vendors (e.g., Iron Mountain, membership renewals, conference registrations; journals, reference books, and scientific articles for internal use and in response to external requests), as required.
- Assist in departmental event and meeting planning, including organizing logistics for off-site (e.g. Health Canada) meetings videoconferences and webcasts; travel and accommodation arrangements; creating/maintaining meeting itinerary; securing services and venues; collect and present venue pricing and other details to management; ensuring all timelines and landmarks are met to ensure a successful event/meeting.
- Main coordinator and "Super User" of selected databases and information sharing tools (SAP, iBuy etc.) as applicable.
- Support New Employee set-up including liaising with applicable departments for ensuring that computer systems, phones, cubicle assignments, access cards, company credit cards etc. are arranged, as applicable.
- Working closely with the Management team and finance, support accurate cost centre budget management, creation of Purchase Orders, Health Canada Invoice Processing, Accruals, RBU Budget and all applicable updates
- Support record archiving management, including recall and return of Iron Mountain boxes; paper records archival; Global Records Management (RMA), TRIMPort and local spreadsheet data entry and manage invoice payments related to archiving.
- Responsible for triaging "non-medical" requests received from external customers via the Ml mailbox to the appropriate department/individual.
- Complete hospital formulary binder updates, as needed.
- Conduct administrative activities related to safety event case handling follow-up, as needed, to support the Patient Safety team
Essential for the role
- Post-secondary education in administrative studies or an equivalent combination of education and experience.
- Proficient in the use of software programs as required (e.g. MS office, SAP, EZBuy).
- Strong written and verbal communication skills.
- Develop, champion and maintain positive relationships with stakeholders.
- Strong project and time management skills.
- Detail oriented.
- Ability to handle sensitive, proprietary information in a confidential manner.
- Customer-focused.
- Problem solving skills.
