Eaton’s Corporate Sector is currently seeking a Administrative Assistant and EBS Coordinator to join our team. This position is based at our Beachwood, OH location. Hybrid work schedule available, from Beachwood, OH location. Position Overview: The Executive Administrative Assistant/EBS Coordinator is part of the EBS Program Office team, providing administrative and logistical support to the VP of EBS Transformation as well as his/her team. In this role, you will engage with senior leaders and employees across Eaton’s global organization, as well as facilitating and directing projects and activities within the Corporate Team and Eaton’s Beachwood Office. In this function you will: Provide administrative expertise through managing electronic calendars, scheduling and coordinating meetings, as well as full travel planning logistics for domestic and international travel. Manage multiple challenging projects for Eaton’s corporate functions, including preparation of high-impact presentations, take minutes during meetings, coordinate events, and ad hoc reporting requests. Format information for internal and external communication – memos, emails, presentations, reports, newsletters, etc. Partner with Corporate Communications with direction from EBS leadership team to develop and deploy employee-facing EBS communication including but not limited to Newsletters, EBS Annual Report, etc. that resonates with target key audiences. Work closely with team to develop to provide accurate budget report, set up vendors and ensure timely payments, and code and track invoices as necessary. Managing information flow in a timely and accurate manner. Interface with internal/external partners, remaining flexible to allow for changing work priorities and timelines. Manage expense reporting and the invoice process. Manage office supplies and other promotional materials, including ordering and maintaining inventory for department and teams. Problem solve to support leaders in technology based issues, and use new technology tools to create workforce efficiencies. Utilize technology and software programs to collaborate with leaders and teams to create, update, and edit materials for meetings, programs, and other events. Support effective administration of the assessment programs, including communications in support of the programs, creation and maintenance of critical data, and management of assessment schedules. Organize logistics for EBS-driven events including EBS Symposium, Executive Council Events, Summits, etc. Ad hoc administrative support to other areas of the business as needed. Proficient in Excel and other Microsoft systems including but not limited to Outlook, SharePoint, Teams, and PowerPoint. Why work at Eaton? Qualifications Required (Basic) Qualifications: Bachelor’s degree from an accredited institution or 7 years of applicable experience focused on executive administration support and enterprise-wide communications. A minimum of 2 years professional work experience. Relocation assistance is not available for this position. Only candidates currently located within a 50 mile radius of Beachwood, OH will be considered. Active Duty Military Service member candidates are exempt from the geographical area limitation.
