Scope of Position:

To achieve this vision, GSM is focus is three fold: assure supply and mitigate risk; deliver business value at lowest total cost; and optimize functional and business efficiency and effectiveness. Currently, GSM is seeking an experienced Administrative Assistant. The ideal candidate will perform advanced and diversified administrative duties which require a broad and comprehensive knowledge of Company policy and procedures, as well as, handle confidential matters. He/she will structure and organize activities of the Director and staff to facilitate the efficient operation of the department.

Day to Day Responsibilities:

  • Handling domestic/international travel, calendar, correspondence, and other scheduled communication for the Director and his staff.
  • Coordinating and supporting leadership team meetings and projects including executive and extended leadership meetings.
  • Planning and coordinating domestic and international flights, local travel, hotels, and related arrangements including visas and meals
  • Supporting other GSM Executive Leadership Team (ELT) members as necessary in relationship to special projects and back up support for the function’s other Administrative Assistants
  • Prepares and submits expense reports as needed
  • Telephone coverage
  • Create and prepare presentations, graphs and reports as needed in advance of trips and / or meetings
  • Creates, prepares and controls highly proprietary / restricted / confidential documents

Travel Requirements:

  • Limited to none

Hours of work/work schedule/flex-time:

  • Normal 8:00 - 5:00 hours with some flexibility

Required Education:

  • Associates degree in business related area or equivalent work experience

Required Years and Area of Experience:

  • 7 - 10 years as an Administrative Assistant
  • Prior experience supporting senior level managers
  • Computer/software and extensive knowledge and experience with Excel, Word and Power Point

  • Extensive experience in travel arrangements (both domestic and international); as well as calendar and event management

  • Strong computer skills (Microsoft Power Point, Word, Excel & Microsoft Office)

  • Experience with AMEX, Concur
  • Experience with Microsoft Net Meeting and AT&T Web Meeting
  • Experience with AT&T Webex and Live Meeting products, as well as experiencing booking audio and net conferencing calls with AT&T
  • Experience ordering supplies through eProcurement
  • Experience inputting purchase orders in the People Soft system
  • Experience with file sharing and collaborating software (Box)
  • Experience with Microsoft Office (Excel, Word, PowerPoint)
