About the Role:
Under the direct supervision of the assigned department manager, to perform administrative duties in support of various production and support departments including but not limited to Finance, Client Services, Multimedia, and Quality Assurance Services. Functions to include filing, data entry, copying/scanning, desktop publishing, and completion of related administrative reports and projects in an efficient, accurate and timely manner.

Responsibilities

  • Completes assigned administrative duties and assigned projects in an efficient, accurate and timely manner.
  • Creates, maintains and updates file folders and performs copying/scanning of records.
  • Maintains accurate and up-to-date client files, databases, archives, or records.
  • Composes or generates a variety of materials (e.g. reports, memos, letters, manuals, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
  • May accurately recreate tables, references, summaries and charts using MS Word, Photoshop and Acrobat. 
  • May generate Certifications and proofread pre-formatted work.
  • May scan and file AR/AP invoices and process AP invoices using accounting software (ex. Peachtree).
  • May create job folders and/or recycle job folders for reuse. 
  • May archive client projects within electronic file management system.


Requirements:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:

  • Student intern position while attending high school or college.
  • Microsoft Office (Word, Excel) and internet/email (Outlook) experience.
  • Experience with Photoshop, Adobe Acrobat and/or other desktop publishing programs a plus.
  • Knowledge of company procedures.
  • Excellent attention to detail.
  • Organizational and time management skills.
  • Ability to report work orally or in writing to supervisor as required.
  • Ability to carry out instructions furnished in written or oral form, and to work with minimum supervision.
  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, PowerPoint, Skype, CRM).
  • Ability to problem solve job-related issues.
  • Ability to work with a diverse group of individuals.
  • Ability to maintain confidentiality of information regarding company financial and other proprietary information.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
  • Teamwork and consensus-building skills.
  • Ability to resolve customer service issues in a professional and efficient manner.
