Building on a 50-year heritage in respiratory care, our ambition is to transform the treatment of asthma and chronic obstructive pulmonary disease (COPD) by driving earlier, biology-led treatment, eliminating preventable asthma attacks, and removing COPD as a top-three leading cause of death. Main Duties and Responsibilities:
As the Administrative Team Lead for Late R&I, you will lead a global team of business support coordinators in a dynamic, fast-paced and exciting area within Biopharma R&D. In this role, you will coach and develop a high-performing team to ensure timely, high-quality and innovative support to Late R&I leaders. You will actively build capability within the team, promote wellbeing through workload management and prioritization, empower effective problem-solving and decision-making, and provide real-time feedforward to enable continual growth and development. You will also roll up your sleeves to fill resource gaps and take on special projects when needed.
You will partner with the Business Planning and Operations team, leaders and key stakeholders to ensure the productivity and exceptional delivery of all admin-led processes and services, including Onboarding; calendar, travel, expense, distribution list and meeting management, and named support. You will develop an administrative forecast model that anticipates future needs and ensures our operating model and resource allocation is responsive to the evolving needs of the business.
With a growth mindset, you will work in close collaboration with your peers across R&I and R&D to share and adopt best practices, drive continuous improvement of key business processes, and proactively identify opportunities for simplification and innovation.
Responsibilities/Duties Include:
- Independently and pro-actively resolve issues and challenges, ensuring delivery of day-to-day administrative activities and programs
- Possesses excellent overall knowledge of customers’ needs and the business and utilizes this knowledge to provide proactive customer support
- An expert in company systems, processes and technology and builds team capability in these areas
- Leads onboarding and offboarding process for Late R&I
- Oversees resource allocation and workload in alignment with evolving business needs
- Leads recruitment, onboarding and training for all administrative team members
- Ensures personal and team compliance with all required company policies and processes including time reporting, required training, Workday information and expense management
- Follows best practices and proactively identifies opportunities for simplification and innovation
- Manages performance, identifying any issues regarding team delivery, and resolves all complex issues relating to delivery of designated tasks
- Provides administrative services to senior leaders and special projects
- Establishes and maintain a robust professional network across R&D administrative teams
Essential Requirements
- 7+ years of experience in a senior administrative role supporting complex projects and senior leaders
- Experience working in a fast-paced global environment balancing competing priorities
- Expert capability in Microsoft Office Suite and proficiency with virtual meeting technologies
- Strong written and verbal communication skills
- Ability to interact confidently and professionally with executives and employees at all levels
- Ability to handle sensitive information in a confidential and discrete manner
- Strong organization skills, detail-orientation and flexibility/adaptability to meet changing business demands
Desirable Requirements
- High School Diploma or GED required, Bachelor Degree preferred
- Line management experience
- Relevant training or certifications in software, and/or time management
