Job Description
Our growing Automotive EV eMobility Tualatin Oregon facility is seeking an on-site Administrative & Training Assistant to serve as the primary on-site support to Eaton's team members including the eMobility leadership team. This position requires working on-site M-F. in Tualatin Oregon. No remote work is available for this role. The individual will be responsible for planning and coordinating training for the various site functions, organize and manage the training documents, meeting presentations and other document formulation, calendar management, travel arrangements, expense reporting, on site meeting logistics, in person or video meetings coordination, employee file maintenance, as well as managing various administrative tasks and projects in the Tualatin site. The position also supports and in on site local human resources initiatives, processes, and tools. The ideal candidate is an energetic critical thinker, analytical, who demonstrates the drive, business acumen, and people capability to deliver results within Eaton’s eMobility Team. High organization and planning skills with personal accountability to get the job done, is critical. In this function you will: Plan and coordinate trainings for the various site functions while also organizing and managing the training documents. Performs a variety of administrative and special duties. This can range from coordinating and handling domestic travel arrangements and meetings and managing schedules to pulling together information for reports and presentations as needed Organizes and prepares Word, Excel, and PowerPoint documents as needed to support the organization. Prepares regular reports and analysis pulling information from multiple sources Routes or answers physical correspondence, envelops or regular mail that is received on site and delivers to owners or leaders. Informs leaders, organizes and maintain files, correspondence, or mailings received on site when needed Provide strong process orientation in terms of juggling multiple priorities and sharing of knowledge for this team-based environment. Responsible of ordering food/catering for Tualatin site events and visitors. Ensure expense reports are created and submitted within the policy Manage Tualatin Site Layout and seating arrangements Maintains electronic distribution lists and visual communication boards updated Performs cafeteria Gemba walks to ensure facility has what is needed to provide an excellent service to employees Ensure office supply inventory remains stocked Support HR leader in various projects, onsite events, and seasonal events Assist with miscellaneous employee requests (IT, access, reporting, HR, customer/vendor visits, EV system tracking) Support HR function of the eMobility Tualatin site with new employee activities, i.e. onboarding agenda, new hire gift packages, desk and cubicle designation, new hire announcement, badge, etc. Support HR on employee local events such as Service anniversaries, celebrations, business meetings and site townhalls Facilitate trainings for Eaton applications Ensure that meeting room for compliance and regular trainings is set up an ready according to training plan Assist is planning and executing onsite 5s events and monthly Gemba 5s walks Qualifications Required Qualifications: Bachelor’s degree Minimum of 2 years’ experience in a business environment Must be legally eligible to work in the United States on an on-going basis without Company sponsorship No relocation benefit is being offered for this position. Only candidates residing within 50 miles of Tualatin, OR will be considered for this position. Remote work is not available for this role. Preferred Qualifications: Tech savvy with advanced knowledge of MS Office applications, including Microsoft Word, Excel, PowerPoint, SharePoint, Outlook and Teams. Experience working with IT systems and databases, including matter management systems (e.g., CounselLink), travel (e.g., Concur) is a plus.
