Job Title:         Americas QMS Planning Administrator (RS)

Reports To:     Americas QMS Planning Team Leader (RS)

Location:         Office Based – Herndon, VA, USA

Date:               January 2020

Purpose of Position

To support our Medical Device planning team through the management of key administrative tasks.

The role’s purpose is to ensure the planning and delivery teams can focus on customer interaction and the efficient and compliant planning & delivery of audits, by handling administrative tasks and triaging customer queries to our planning inboxes.

Key Responsibilities & Accountabilities

• To work with the QMS Planning Team Leader to prioritise tasks between each of our key regions: EMEA, APAC and AMERICAS
• To run key reports to identify workload and support management oversight of tasks
• To complete workflow actions following audits completed by our delivery team
• Management of basic client queries and the planning shared inbox
• To ensure auditor impartiality checks are completed for all our QMS audits

Performance Indicators

• Maintaining outstanding workflows and corrective action plans within a suitable level
• Timely response to client queries
• Ensuring the appropriate impartiality checks for our QMS audits have been completed

Candidate Specification

• Customer Service skills and experience (phone and email)
• Strong attention to detail
• Ability to plan and prioritise tasks according to importance to the client and business needs
• Computer literate and familiar with commonly used software tools (e.g. Windows, Excel, Word) and ability to learn BSI systems (SAP & Point Global)
