Responsibilities: Basic Complete assigned tasks based on standard operating procedures and established key performance indicators Participate in the continual reevaluation of current processes and offer suggestions to improve the effectiveness and efficiency of each process Build and maintain vendor specific data entry processing templates Build and maintain vendor specific tariff models and input customer-specific usage information to identify savings from switching rates Review all system generated cost and usage exceptions based on allowed variance compared to historical patterns Investigate historical and current vendor billing errors, water leaks, and other potential savings opportunities and obtain refunds where appropriate. To be measured by logging an average of 10 savings opportunities per year Identify and correct data entry errors in a timely manner to ensure accuracy of the data both for payment and front-end reporting purposes Research and resolve all other types of system-raised exceptions per established processes and turn-around times to include exceptions relating to date-range problems, revised billing, and other miscellaneous categories Intermediate - Candidate should be proficient at several of the below tasks, having previously trained in a back-up capacity for a current Analyst II: Review and evaluate data transmissions from 3rd party providers to include initial file testing for new utilities added to programs, logging tickets to report problems, and attending meetings/conference calls as necessary with representatives from the 3rd parties Maintain system coding to prorate (“split”) invoice data into customer-defined sub-accounts; for more complex cases, build and maintain Split spreadsheets to be used from manual data processing Complete peer review QC of tariff model updates and recommendations for savings opportunities Validate data outside of the data system via queries and calculations as necessary Utilize reporting database and other tools to efficiently retrieve data and/or generate ad hoc reporting as requested by internal or external clients Build and maintain vendor specific processing templates for international accounts, utilizing bill copies and translation cover sheets as provided by Customer Care to verify that the translations make sense in the context of a utility bill Review first time invoice for new supply contracts executed by the Commodity Services group to ensure account is being billed accurately per the contract terms Manage the group’s shared mailbox: assign tasks to team and respond to inquiries from other departments with critical/urgent items escalated to Manager as appropriate. Attend internal kick-off meetings for new clients Assist with the updating/maintaining of the client integration tracker for analysis related tasks Review invoice validation completed by trainees for QC and coaching purposes Review template set-up completed by trainees for QC and coaching purposes Evaluate whether special request projects are within the Scope of Work, or if it should be logged against a client-specific time code – escalate to manager as needed Lead Utility Bill Knowledge (“UBK”) and Analysis training classes while ensuring that at least 60% of candidates pass UBK and at least 85% pass Analysis class Conduct on-the-job training for new hires and make sure SOP documents are up to date Other duties as assigned, includes learning Analyst III level tasks with the goal of supporting them in a back-up capacity Required Knowledge/Skills, Education, and Experience: Tenure – 2 Years* Candidate should have received an overall rating of “Achieved” or greater for most recent performance review Proficient in Excel Strong focus on detail and pattern recognition Strong team player Strong verbal and written communication skills Ability to effectively multi-task Ability to effectively research and resolve requests in a timely manner Ability to manage processes and associates (lower level), specifically taking ownership of the “intermediate” tasks outlined above, training others as back-up, with the intention that they become proficient to manage said task on their own in the future Applicants must be legally-authorized for employment in the United States without need for current or future employer-sponsored work authorization As part of Siemens’ Disaster Recovery plan, should the office be closed due to inclement weather, power/internet outages, etc. employee may be required to work from their residence or another designated location.
