Job Description

We are now growing our project management team in East Asia and looking for talented candidates that bring document control experience in building projects with project document management online system skills and capabilities to join us in Hong Kong.

For the successful candidate, you will get involved with different size and scale of projects in the East Asia region, including those of mega size sports complex facilities.

Responsibilities:

The Assistant Document Control Officer is envisaged to operate at the level immediately below and in support of the Project Controls Manager, as part of the Project team.

  • Maintenance of the project filing system(s)
  • Interface with relevant stakeholders and the clients using Project Document Management System (PDMS), i.e. ACONEX
  • Control the document numbering registration and ensure consistent approach across teams to numbering deliverables including revision numbering
  • Facilitate the provision of hard copy documents for signing by relevant staff and / or endorsement by the checking team(s)
  • Register and control both incoming and outgoing documentation and correspondence
  • File documents in physical and digital records and ensure appropriate storage
  • Manage the processes around documentation within the project team and organization
  • Manage requests for documentation
  • Maintain the confidentiality of sensitive documentation
  • Create templates, set up, copy, scan and store documents
  • May be required to manage and / or train supporting staff

Qualifications and Experiences required:

  • Diploma, Higher Diploma or Degree in Engineering, Business Administration or related disciplines
  • Minimum 8 years of relevant experience in which at least 2 years of experience in using document or records management systems, i.e. ACONEX
  • Experience working in project environment will be beneficial
  • Experience in working with many file types, and able to find and retrieve paper documents
  • Proficient in Microsoft Office. Experience in using Bentley ProjectWise and BlueBeam software is advantageous
  • Basic understanding of construction documents
  • Creative, self-motivated with strong organizational and effective communication skills
  • Proficient in both written and spoken English and Chinese
