Job Description
Includes managing Practice Lead calendar, independent correspondence, filing, managing e-mails, handling phone calls, travel arrangements, coordinate meetings, draft minutes of meeting and teleconferences, and other administrative duties. § Processing of Passports, Visas, Foreign Exchange with foreign exchange bureaus and travel related arrangement for the PL. § Keeping a record of all domestic and overseas travels for annual travel assessment and preparing Travel Expense Sheet for the PL on return from travel for voucher clearance. § Coordination and arranging the town hall conferences with the SAA region. § Managing all local documents, files and records, including opening, maintaining and tracking files. § Ensuring all documents are finalized and required signatures obtained for filing or further processing. § Need to organize meetings on request of CF A Practice Lead and CF A Team leads. § Coordination with CF A PL, Contacts to be maintained, CF A team members SAA region and globally, administrative Assistants within Siemens Ltd and administrative assistants within global CF A organization. § Organizing events/ conferences § Tracking Frequent Flyer Mileage records and statements. § Handling all incoming and outgoing calls and taking down messages. § Provide backup support to other team members. § Communication and co-ordination with different departments/countries. § Co-ordination and travelling for the conference internationally.
