Assistant, Taxation

This position supports the VP Taxation and the Taxation Team with tax compliance and administration; coordinates tax projects; and manages budget, financial and service provider engagement processes for the department

What you will be doing:

Administrative functions:

Provides full administrative support to the VP, Taxation and taxation team, including:

  • Ensures proper/organized filing of documents (on server and physically)
  • Maintains the filing room and inventory of files and binders 
  • Organizes various requests for access to applications/ servers and other onboarding duties for new hires or contractors
  • Assist with developing and maintaining departmental calendar
  • Develop and manage processes and tools to monitor department expenses and budget
  • Generate financial statements and pull general ledger details, as required
  • Drafts and processes cheque / wire payment requisitions
  • Initiate and draft expense claims for approval
  • Manages and maintains department’s supplies inventory
  • Plans and coordinates department events, meetings and conferences
  • Prepares and/or drafts correspondences, Powerpoint documents, as required
  • Actively involved in projects as required by the team, inclusive of coordination, material preparation, venue reservation, catering requirements, room reservations (if needed)
  • Records minutes of meetings as requested
  • Process incoming and outgoing mails and couriers
  • Coordinates with other administrative assistants on obtaining approvals and or signatures on pertinent documents from other function heads 
  • Maintains confidentiality, as appropriate

Tax Support Functions:

  • Assists in the preparation and filing of tax returns in Canada and US
  • Coordinates annual FBAR filings (Report of Foreign Bank and Financial Accounts) in the US 
  • Manages access to online CRA accounts for corporate entities
  • Coordinates requests for tax forms and certificates (e.g., WBEN, W9, residency certificates, etc.)
  • Supports tax team by obtaining financial backup, such as trial balances, financial statements and/or general ledger details

Your experience and skills include:

  • Strong organizational, administrative and communication skills
  • Ability to prioritize and manage multiple projects concurrently and follow up where necessary
  • Ability to work independently and collaboratively and function as a resourceful problem-solver
  • Must be flexible and able to meet deadlines
  • Strong Excel skills
  • Proficient in Word, Powerpoint 
  • Exposure to or understanding of accounting would be an asset

Your team and working environment:

  • Based at the North & Central America Regional Office in Toronto, Ontario, this position is part of the Taxation team.

Note: Must already be legally entitled to work in Canada to be considered for the position
