Job Description

Objective of job (abbreviated)
Provide high-level administrative and executive support to GM by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings

Main tasks
1. Daily Secretarial support to GM
•Be responseble for GM’s daily schedule, incl Meeting/appointment/Business Trip arrangement.
•Prepare daily work folder and priority meeting folder, check and prepare all slides, doc.
•Daily document signature follow up
•Sort out, classify and file all GM’s documents. Handle reibursement issue.
•Telefone back-up
2.Department Meeting Organization
•Organize and coordinate internal meeting
•Organize Team events,trainings and team buildings
3.Team Administrative Work
•Handle admin requestments from ITS E4 managers
•New policy/system information transmit; Processing and collection HR requirement in between IT.
•Daily department mail, express delivery
•Newcomer onboard preparation
•Ordering of IT equipment, stationery etc.
•Department car administration
•Department Intern management
4.Visitor Reception Work
•Screen to control interruptions to GM, arrange amenities as needed.
•Be responseble for visitor ‘s Invitation Letter application
•Provide assistance to international visitors-Hotel reservation, airport pick-up,meeting/schedule arrangement,etc.
5.Cross Department Coordination
•Cross department coordination between IT, CIO office, HR, Admin, etc
•Coordinate LS2020 related activities in the department

Education
•Univerisity degree or above
Experience
•A minimum of 3 years’ experience in executive assistant function. Automotive / Logistics industry preferred
•Well organized, logical thinker, presentable and attention to details.
•Desire to meet and set higher standards of excellence.
•Target oriented and persistent with ability to anticipate needs.
•Tact and diplomacy in interacting with others, a good team-player
•Strong in (intercultural) communication in an international work environment.
Specific Knowledge
Good customer service and interpersonal communication skills
Excellent command of spoken and written Chinese and English
Basic German Language communication would be prefered
Knowledge of electronic data processing (both English & Chinese) with MS Office (Word, Excel, PowerPoint, Outlook) skills.
Prior experience on office administrative job a plus
