Assistant to WFJ Division General Manager

Job Description

Key Responsibilities:

  • Provide assistant support to WFJ GM on the calendar management and meeting coordination.
  • Work closely and effectively with GM to keep her well informed of upcoming commitments and responsibilities, follow up appropriately.
  • Help to manage complex travel arrangements of GM and expense claims.
  • Assist GM and team heads with financial tasks.
  • Support GM on working space and public area environment maintenance or any departmental administrative tasks.
  • Recruit and coach of department assistant.
  • Support on event and employee engagement activity organization and coordination.
  • Help on new onboarding, divisional training registration and ELC-1’s orientation scheduling.
  • Handle variety of assignments expeditiously, proactively, and follows-through on initiatives to ensure successful completion, often with deadline pressures.

Person Specifications:

Academic / Professional Qualifications

  • Bachelor degree or above.

Work Experience

  • 5+ years of experience working at an executive level

Required Competencies

  • Expert knowledge of MS Office (Outlook, Word, PowerPoint and Excel).
  • Excellent communication and analytical skills, specifically related to projects.
  • Fluent in verbal and written English and Mandarin; French language skills preferred.
  • Demonstrated ability to be proactive, take initiative and exercise good judgment, discretion and confidentiality in all tasks.
  • Ability to create or modify processes and scale best practices across the organization.
  • Mature, ability to quickly learn and adopt new environment and be flexible.
