In joining RWS’s Legal and Professional Advisory team you will play an instrumental part in supporting the world’s leading provider of technology-enabled language, content and intellectual property services. Job Purpose

Under the supervision of Co-Head of Legal and department attorneys, the Legal Office Admin Assistant. supports the Department in providing legal services to the organization, including in the areas of general contracting and compliance. The Associate Paralegal Admin. also performs various Legal Department administrative functions, and other related services, maintenance of department policies and guidelines, and maintenance of electronic contract, document and file management and retention systems.

 

Key Responsibilities

  • Provide general administrative support to the Legal Department
  • Develop and manage processes to improve efficiencies with respect to management of legal documents (contracts, policies) records
  • Oversee storage, backup, maintenance, reproduction, protection, and disposition of all records
  • Support the Legal department with project management and coordination
  • Respond and coordinate legal inquiries and conduct contract searches
  • Prepare initial agreements and contracts for various departments based on templates under attorney supervision (e.g., NDAs, amendments, RFIs/RFPs) as needed or as otherwise directed by department attorneys
  • Draft and edit reports, presentations, forms, and other legal documents
  • Assist with assembling educations/training/ research materials and document production (including exhibits, presentations, and documents)
  • Proofread legal documents, for clarity and grammar
  • Conduct legal research as needed.
  • Under direction of Co-Head of Legal, create, update, and maintain contract templates and clause libraries in the Legal Department contract management system
  • Maintain the internal Legal Department policy process, including Legal web portal, SharePoint, Teams, and other related processes, and procedures

 

Skills & Experience

  • Must have 1 to 2 years’ relevant experience supporting the needs of one or more large-scale, complex organization clients in a law firm and/or in-house legal department.
  • Some familiarity with NDAs and contracting.
  • Advanced proficiency with Microsoft Office suite (Word, Excel, Outlook and PowerPoint), Adobe Acrobat Pro and DocuSign required, and experience with other electronic databases (such as contract management platforms, SharePoint) strongly preferred.
  • Experience overseeing document retention and management policies and programs preferred.
  • International organization – exposure to different cultures – communication.
  • Quick learner who can adapt to a fast-paced, high-growth environment and can navigate complex cross-functional situations.
  • Strong team player with the ability to collaborate with cross-functional teams representing a wide range of entities and departments.
  • Possesses strong integrity and demonstrated commitment to principles of equity and inclusion.
  • Flexible work from home schedule, with a minimum of 1 or 2 days in the Boston, MA office.

Base Pay: $17-24 / hour - Actual rate of pay may vary based on factors including, but not limited to: position offered, location, education, training, and/or experience. Total compensation may also include variable incentives, bonuses, benefits, and/or other perks, as outlined in any formal offer made.

FLSA Status: Non-exempt (eligible for over-time pay)
