The AbbVie aviation department supports the goals of the company by providing safe and efficient transportation on company aircraft for various management and support personnel to almost any destination in the world. We primarily serve the highest levels of the AbbVie management team; however, we transport all levels of employees on a regular basis. We have very high visibility, and we are customer focused and must consistently maintain very high levels of service and responsiveness. Key Responsibilities Include: Receives/greets all visitors and passengers, ensuring the highest level of customer service and care are executed. Assists in providing security by controlling entrance to the main gate and hangar entrances. Responsible for all aspects of accounting for the aviation department. Includes auditing, formatting to SAP system and completing ACR payment of all vendor invoices amounting to over $7MM annual expense. Handle aircraft warranty claims and resolve billing disputes. Functions as back up for department Operations Administrator and in his/her absence assumes responsibility for all aircraft scheduling and communications with AbbVie management team. Collect flight and fuel data from aircraft flight logs, fuel purchases from home facility, commercial and international locations to develop Flight Activity Report from which all passenger chargebacks are derived. Prepare journal entries for over $2MM annual passenger chargebacks. Assists with department annual Plan and Updates by providing supporting documents, spreadsheets, and financial analysis. Conducts account reconciliation regarding aircraft warranties, billing, aircraft flight logs, SAP accounts, and payments against RCE's. For CEO, President and EVP, Finance and CFO, prepares and written estimates for costs regarding executive special purpose trips under FAA timeshare lease agreement. Upon completion of the trip prepares cost documentation spreadsheet and invoices for the trip that are sent to the officer involved. Responsible for the development and distribution of several reports that must be completed within deadlines such as, Flight Activity, quarterly annual Corporate Officer Travel Summary, monthly aircraft utilization reports, fuel usage, and passenger data, monthly Fuel Purchase and Fuel Gallons Per Hour, and monthly International Trip Summary. Assists with all domestic and international scheduling for the use of AbbVie aircraft and company cars by AbbVie personnel and VIP guests or customers. Coordinate with Dir. Aviation, Chief Pilot and Chief of Maintenance to maintain optimal levels of aircraft utilization and efficiency. Handles requests from top management about aircraft trips. Assists in arrangement of VIP flights for AbbVie guests including US Senators, Congressmen, and others. Interfaces with handling agencies for international trips who help in providing logistical support, assist in procuring government permits, landing / overflight permits, crew visas, airport arrival and departure slots, etc. Provide passenger and crew flight itineraries. Facilitates booking of hotels and ground transportation, if required. The Aviation Coordinator also provides support to both the Chief Pilot and the Chief of Maintenance and other department personnel. The Aviation Coordinator supports tax and accounting in providing estimates and invoices to top management for special purpose flights conducted under a timeshare lease. The work output from this position has very high exposure and visibility to the highest levels of AbbVie management. The level of scrutiny that the work product receives warrants extreme attention to accuracy and detail. The Aviation Coordinator has significant personal interaction with AbbVie top management, corporate officers, AbbVie board members and their administrative assistants. The Aviation Coordinator routinely communicates with a broad spectrum of functions internal to AbbVie but also interacts with outside governmental agencies, such as the FAA, U.S. Customs, Waukegan Port District, and various vendors and suppliers who support the operation of the aviation department. Qualifications Position Requirements: Requires superior administrative and communication skills, demands a high degree of independent judgement and decision making. Requires superior customer service skills, with the ability to anticipate the needs of the department, passengers, and guests. Requires detail orientation with work done accurately in an organized fashion under time constraints. Requires proven ability to work effectively under high workloads and considerable pressure with limited supervision. Strong analytical abilities, customer focus, attention to detail, and the ability to follow through are necessary to succeed in this position. Candidate must have at least five years’ experience in an accounting position with a basic knowledge of accounting principles. Requires well-developed knowledge of financial processes and systems including auditing, payroll, general ledger, accounts payable, SAP, financial reports, journal entries, expense reporting, RCE's and ACR's. Position requires a moderate knowledge base in corporate aircraft operations, including scheduling and dispatching methods, computerized flight scheduling programs, and flight planning software. Preferred Qualifications: Bachelor’s Degree preferred, but not required. A working grasp of AbbVie organizational structure and internal contacts is a plus. Well-developed computer skills with experience using financial spreadsheets and reporting software. Microsoft Office Suite including advanced skills with Excel preferred.
