Job Description
JOB PURPOSE
The Bid Coordinator is attached to the Sales group, and supports the bid management team and activities across the Regulated Industries business.
ACCOUNTABILITIES AND RESPONSIBILITIES
- Prepare commercial proposals in response to RFI/RFP projects of variable size, scope, region and duration
- Create, collate, coordinate, update, rephrase, review and copy-write content
- Orchestrate projects to execute a win strategy
- Interface heavily with multiple SMEs across the organization during response production stage to collect information of various nature and form (text, numbers, screen shots, signatures, visuals, forms, collateral, etc.)
- Liaise with a network of service providers in parallel (print professionals, proof-readers, copy artists, creative agency, etc.)
- Manage bid participants’ schedules so projects are running smoothly and get submitted on time
- Use, update and maintain dedicated content repositories (online and offline)
- Do administrative tasks such as project schedules, project notes, research, call minutes, file management, sales support work
- Manipulate multiple files in different formats, incl. web and ensure version control at all times
- Assist with reporting
QUALIFICATIONS, SKILLS AND ATTRIBUTES
- English native or near-native speaker; Fluency in Spanish or French will be a plus
- Experience with content management is a plus too
- Language industry experience is a must
- Excellent organizational, creative, analytical, writing and communication skills
- Content enthusiastic with a positive “can do” attitude and flexible approach
- Team player and detail-oriented
- Pressure-resistance and effective listening
- Proven ability to multitask and prioritize
- 2-3 years professional experience in either project, document and process management, content processing, language-related, software, journalism, technical writing or content marketing
- 1-2 years in a similar pre-sales function is preferred
- Excellent command of Office (MS Word, Excel, Outlook and PowerPoint); design applications can be a plus
- Familiarity with the language industry technologies is a strong asset: translation/localization processes, Translation Management Systems, Computer Aided Translation (CAT) Tools, Machine Translation
